The Opportunity

This position works out of our Abbott Park, Illinois location in the Legal Division.

As the Legal Invoicing Analyst, you will be responsible for business processes related to external disbursements, including the development and utilization of Abbott’s ebilling system for payment processing, financial analysis, and support of Legal spend objectives. This role requires a collaborative and detail-oriented team player, who will demonstrate strong written and verbal communication skills in daily interacts with external law firms/vendors and colleagues at all levels of the organization, including senior Legal leadership.

What You’ll Work On

  • Drives all business processes necessary to support Legal/OEC disbursements, including:

  • Proper handling of electronically submitted and manually entered Legal invoices

  • Conducting financial analysis using Abbott’s matter management and electronic billing system

  • Adhering to defined Legal invoice review and approval processes, validating invoices for compliance with Abbott’s billing guidelines, engaging in reconciliation activities, and maintaining documentation for invoice related processes

  • Providing timely support to Abbott’s internal Legal teams and outside counsel partners regarding billing questions and other ad hoc inquiries

  • Working closely with Accounts Payable to ensure timely and accurate invoice processing

  • Developing key operational metrics and preparing related data analytics

  • Maintaining strong relationships with Legal Technology and Abbott’s ebilling vendor to support efficient billing processes

  • Assessing invoice processes for improvement opportunities, proposing process improvements, when appropriate, and taking lead on execution

  • Collaborating with key stakeholders to provide system support, as needed (e.g., system migrations due to acquisitions or system replacements/upgrades)

  • Managing new law firm/vendor ebilling set-up and onboarding processes

  • Assisting with onboarding and training of ebilling/matter management system

  • Maintaining electronic timekeeper records and rate information as well as assisting with annual rate increase process

  • Partners with Legal Finance to maintain alignment regarding critical financial processes to effectively support division objectives

  • Demonstrates strong understanding of Outside Counsel Management operations and provides support as needed

  • Takes initiative to identify and escalate issues, as appropriate, and collaborates with team members to develop timely issue resolution processes

Required Qualifications

  • Bachelor’s degree or related experience

  • High degree of professionalism and ability to discreetly handle confidential information

  • Consistent and strong attention to detail, good judgement, solid time management and organizational skills, and able to effectively multi-task

  • Ability to work under minimal supervision on day-to-day activities and under general guidance for ad hoc tasks

  • Strong written and oral communication skills

  • Excellent interpersonal and customer service skills

  • Proficiency with Microsoft Office applications

Preferred Qualifications

  • 3+ years of applicable experience

  • Working knowledge of ebilling systems/software preferred

  • MDG, SAP, Symphony experience preferred

The base pay for this position is $48,000.00 – $96,000.00. In specific locations, the pay range may vary from the range posted.
