Alaant Scheduling Coordinator – Law Firm in Albany, New York

Alaant Workforce Solutions is recruiting for our client an esteemed law firm based in Albany, NY. They seek a highly organized and detail-oriented Scheduling Coordinator to join their team.

The ideal candidate will be responsible for managing the calendars of three attorneys, ensuring seamless scheduling of appointments and meetings. Additionally, the Scheduling Coordinator will serve as a primary point of contact for clients, providing exceptional service and maintaining effective communication.

Hours and Benefits for the Scheduling Coordinator:

  • Direct hire position Monday – Friday regular business hours

  • The salary is between $55,000 - $70,000 (based on experience)

Responsibilities for the Scheduling Coordinator:

Calendar Management:

  • Coordinate and manage the daily schedules of three attorneys, including appointments, meetings, court dates, and deadlines.

  • Ensure that all calendar entries are accurate, up-to-date, and free of conflicts.

  • Prioritize and reschedule appointments as necessary, considering the attorneys' workload and client needs.

Client Communication:

  • Serve as a primary point of contact for clients, addressing scheduling inquiries and confirming appointments.

  • Maintain professional and courteous communication with clients, ensuring a positive experience.

  • Coordinate with clients to gather necessary documentation and information for meetings.

Administrative Support:

  • Prepare and distribute daily, weekly, and monthly schedules for attorneys.

  • Assist with the organization and preparation of materials for meetings.

  • Collaborate with other administrative staff to ensure efficient office operations.

  • Maintain confidentiality and handle sensitive information with discretion.

Requirements for the Scheduling Coordinator:

  • High school diploma or equivalent required; education or certification in office administration is a plus!

  • Proven experience in scheduling and calendar management, preferably in a legal or professional services environment.

  • Strong organizational skills and attention to detail.

  • Excellent communication and interpersonal skills.

  • Proficiency in Microsoft Excel and other office software.

  • Ability to multitask and prioritize effectively in a fast-paced environment.
