The main objective for the program coordinator is to provide all necessary administrative support and services to assist in ensuring the greatest effectiveness of the Office of Teacher Preparation.

The program coordinator carries out administrative activities of the office in such a way as to facilitate relationships between the Director and the faculty, between staff and students, between the Office and University offices, and between the Office and agencies outside the University. The duties and responsibilities listed below are indicative of the routine, regular, and on-going objectives. Each year, the program coordinator establishes procedures which enable meeting these responsibilities efficiently and effectively.

The program coordinator is the Office's liaison with all the campus administrative offices including the following: Dean's Office, College of Arts and Sciences, Undergraduate Admissions, Registrar, Institutional Research, Purchasing, Accounting, Summer Sessions, Advisement Services Center/Undergraduate Studies. The program coordinator reports directly to the Director of Teacher Preparation. The coordinator will have a working knowledge of software packages used for word processing, spreadsheet development, database management and admissions. The program coordinator will also have administrative experience related to organizational procedures, be capable of daily multi-tasking, and be sensitive to meeting deadlines.

DUTIES AND RESPONSIBILITIES

Personnel Management

  • Monitor efficiency, fairness of workflow, and working environment of the Office, making necessary changes to promote productivity and employee/faculty satisfaction.

  • Provide support to the Director in staff recruitment, hiring, and record-keeping activities (e.g., supervisors, school-based educators, UAlbany staff).

  • Assist the Pathways Into Education (PIE) Center and Dean's Office in marketing efforts for program recruitment sessions

  • Oversee orientation of new undergraduate teacher education students.

  • Maintain smooth operation of the Office programs during the Director's absence.

Budget and Accounts Management

  • Oversee preparation and processing of all payments for mentor teacher stipends, travel expenses, and other program expenditures.

  • Oversee purchasing of equipment and supplies.

Academic Affairs

  • Provide leadership and coordination for preparing course schedule each semester. Oversee all schedule changes in coordination with the Director.

  • Coordinate with Human Development, CAS, and all SOE departments on course scheduling needs.

  • Provide leadership in the processing of applications for declaring major to undergraduate teacher preparation programs.

  • Maintain system to track admissions files, decisions, and enrollments. Monitor outgoing correspondence to applicants.

  • Facilitate communication with Undergraduate Education and Admissions. Provide information and assistance to all students regarding academic and departmental policies and procedures.

  • Assist departments and/or program committees in their responsibilities as requested by Director.

Accreditations

  • Maintain and update electronic files for all students in the three undergraduate teacher preparation programs.

  • Gather, organize, and maintain AAQEP accreditation records of student materials, course materials, and assessments. Assist with AAQEP annual report and seven-year review, including data analysis, tables, and report formatting.

  • Engage in enrollment management activities, to include monitoring of registration schedules, and adjusting sizes and numbers of classes offered as needed.

  • Run GPA query at the end of each semester to monitor student progress, assist Director with academic warning notification letters.

  • Develop Memoranda of Understanding and other agreements with school districts.

Communications

  • Work with the Director in preparing memoranda and reports to the College, University and larger community as needed.

  • Provide day-to-day interface with Dean's Office regarding budgeting, personnel, academic affairs, undergraduate admissions, etc.

  • Provide day-to-day interface with prospective and current students to share information, resolve problems, act as liaison between students and other university offices.

  • Attend program faculty/staff meetings, as appropriate, and prepare minutes.

  • Provide leadership for management of the program web page in collaboration with Director of Communications. Serve as program contact for newsletter, marketing, and other communications. In collaboration with Director of Communications, assists with development of the program marketing materials.

Facilities Management

  • Oversee maintenance of program files and records.

  • Develop digital procedures for securely archiving files, routinely update electronic files.

University Service

  • Serve on university committee, as needed, in support of program efforts.

Supervisor Relationships: The program coordinator reports directly to the Director of Teacher Preparation.

Job Requirements:

Minimum Qualifications:

  • Bachelor's degree from an accredited College of University

  • Five or more years of administrative experience

  • Excellent written and oral communication skills (oral to be evaluated in interview)

  • Ability to multi-task across administrative, human resource, front facing interface, and prioritize workflow

  • Knowledge of Microsoft Office

Preferred Qualifications:

  • Bachelor's degree in education or related areas

  • Master's degree in education, higher education, or related areas

  • Evidence of progressively increased responsibility in administrative work

  • Two or more years administrative experience in a higher education setting

  • Two years in a position with direct contact with students (e.g., PK-12, college, or adult)

  • Experience working with teachers, teacher candidates or k-12 school partners

  • Knowledge of PeopleSoft (or with other academic enterprise systems)
