Staffmark Administrative Executive Assistant in Alexandria, Minnesota

Pro Staff is seeking a passionate and experienced Administrative Executive Assistant to join our client's team. If you thrive on challenges, value collaboration, and are driven to excel, we want to hear from you! Schedule: Day shift, 7:30am - 4:30pm, Monday - Friday Pay rate: $26 - $32/hr. Responsibilities: Prioritize safety by upholding company's commitment to a safety-first culture and adhering to all safety guidelines. Provide administrative support by managing calendars, schedules, correspondence, reports, and meeting minutes; prepare agendas and PowerPoint presentations. Coordinate events and visitors by ordering food for customer visits and business luncheons, maintaining supplies, and keeping conference rooms clean and organized. Manage meetings by scheduling, creating agendas, recording action items, and distributing minutes as needed. Maintain corporate compliance and documentation by managing Federal Firearms and ITAR license records and serving as an insurance liaison for company vehicles and driver approvals. Support employees and marketing by handling employee anniversary letters, graduation recognition, Christmas cards, and providing general marketing assistance. Serve as backup for other executive assistants and receptionist, and act as the company Notary. Qualifications: Education and experience include a high school diploma (required), an associate's degree in office administration (preferred), and 2+ years of administrative and customer support experience. Skills and abilities include strong attention to detail, exceptional customer service, and proficiency in Microsoft Suite and data entry. Organization and time management abilities are key, with the capacity to handle multiple tasks and meet deadlines in a fast-paced environment. Communication and professionalism are essential, with excellent oral and written communication skills and the ability to manage sensitive situations and confidential information.
