Job Description:

Sr. Administrative Assistant is the "right-hand" partner to the Vice President and staff members. This position requires a "service mentality," an individual who is willing and able to go above and beyond, work a flexible schedule, shift priorities at a moment's notice, and has the focus to provide the quality of work that represents the team well. Sr. Administrative Assistant must exercise a strong degree of judgment to independently identify and resolve conflicts and problems. This person must be a strong communicator that supports the Vice President, staff, and employees. This person must also be able to handle a variety of complex, time sensitive and confidential situations and materials.

  • Coordinates business functions, such as meetings, conferences, and special events; oversees and participates in preparation and event (i.e. takes meeting minutes).

  • Produces and assembles reports and presentations under direction of Vice President.

  • Schedules appointments and makes travel arrangements for team members as needed.

  • Maintains documents and organizational system to support the staff's accomplishment of business objectives.

  • Conducts research and problem resolution for general business requests and conflicts under minimal supervision.

  • Process financial documents (PO’s, Invoices, Check Requests)

  • Manage office supplies.

Requirements

  • 5+ years of progressively responsible administrative or office management experience in fast-paced business environment required.

  • Self-starter with the ability to work independently under minimum supervision.

  • Demonstrated assertiveness and drive for results with ability to work effectively with wide range of constituents in a diverse community.

  • Must possess impeccably strong organizational and time management skills.

  • Demonstrated creative problem resolution skills.

  • Detail-oriented with strong commitment to quality.

  • Must possess effective customer service, communication, writing, and interpersonal skills.

  • Must be able to manage multiple priorities, meet deadlines, and work well under pressure.

  • High degree of professionalism and confidentiality required.

  • Proficient with computer systems and technology, such as Microsoft Office applications including but not limited to Word, Excel, PowerPoint, Outlook.
