Summary

The Department of Electrical Engineering and Computer Science (EECS), Electrical and Computer Engineering Division (ECE), is searching for a part-time (20 hours per week) events assistant to support the ECE Alumni Engagement and Events Manager in the planning and execution of logistics for department (faculty/staff/committee) meetings, special events (department sponsored student events, career fairs, summer camps), student recruitment activities, and on-site faculty/corporate/guest lecturer visits.

This position is term-limited for one year with the possibility of renewal contingent upon availability of funding and excellent performance.

Responsibilities*

  • Assist in the planning and execution of departmental events, including the selection and ordering of food, beverage, decorations, displays, tables, etc., making transportation and hotel reservations, and soliciting and coordinating student attendance.

  • Support the execution and set-up/clean-up of meetings and special events. Coordinate registration and act as on-site point of contact on day of special events, including student events and career fairs. Guide on-site guests to each scheduled meeting and manage day-of itinerary.

  • Keep track of all expenses and assist in conducting reconciliations and preparing reports on activities costs.

  • Assist with researching alumni and companies for possible future visits.

  • Support ECE off-site special events.

  • Other duties as assigned.

Required Qualifications*

Bachelor's degree and 3+ years of of experience in events planning and execution; Proven strong communication and organization skills; High degree of accuracy and attention to details; Experience and proven ability to work under pressure in a high-activity, dynamic environment working both on a team and independently; Proficient in Google Suite, Microsoft Suite, as well as familiarity with OPS and its coordination with SSC.

This position requires the coordination of materials pickup and delivery at multiple locations both on and off campus.

Desired Qualifications*

Knowledge of University policies and procedures; Experience with Concur, Marketsite; Prior experience in event planning
