JOB DESCRIPTION:

The Office of Respect is a confidential clinical resource for Emory student survivors of interpersonal violence (i.e., sexual assault, sexual harassment, relationship violence, and stalking). The Administrative Assistant is an integral part of the Office of Respect team, providing consistent access to the survivor lounge during office hours, providing student-facing support to triage needs, managing office operations, providing administrative support, and offering in-person assistance to students seeking support.

POSITION SPECIFIC ESSENTIAL FUNCTIONS:

  • Attended to incoming calls, emails, and walk-ins with a culturally competent and trauma-informed approach.

  • Provides first point of contact to Emory students, assessing student needs for immediate support, scheduling, or passive information/ space utilization.

  • Provides psychological first aid to students, such as offering water, snacks, or comfort items.

  • Oversees ordering and maintenance of office supplies and supplies for the survivor support lounge.

  • May act as a spokesperson for departmental inquiries.

  • Maintains and coordinates Outlook and Electronic Medical Records calendars for staff members.

  • Reviews incoming correspondence and identifies items of special interest to management; handles routine correspondence and prepares appropriate responses.

  • Manages logistics for meetings and special events, often preparing materials and completing orders and reservations.

  • Establishes and organizes electronic filing systems.

  • Initiates, processes, and maintains records and invoices.

  • May monitor or maintain budgets, assist with budget development, and prepare related expense reports and reimbursements.

  • Plans and coordinates travel arrangements.

  • Maintains databases and spreadsheets; may also analyze data and design/generate associated reports.

  • May supervise or direct the work of support staff and/or students.

  • Responsible for own work.

  • May assist with supervision of staff/student employees.

  • Performs related responsibilities as required.

MINIMUM QUALIFICATIONS

  • Bachelors degree or equivalency of a high school diploma and five years of administrative experience.

  • Proficiency with Microsoft Office including Outlook, PowerPoint, and Excel.

  • Experience with collaborations tools (OneDrive, Zoom, Teams, and/or others).

PREFERRED QUALIFICATIONS

  • Six years of experience in office administration OR a bachelor's degree in business administration or a related field and two years of office administration or related experience.

  • Two years of experience in a confidential/clinical/or crisis setting (i.e., medical, legal, counseling, rape crisis center) managing sensitive materials.

  • Demonstrated understanding of integrating diversity, equity, and inclusion principles into everyday interactions.

  • Demonstrated ability to navigate situations consistent with trauma presentations.

  • Proficiency with various computer software applications, particularly Microsoft Outlook, Word, and Excel.

  • Strong verbal and written communication skills.

  • Understanding of applicable privileged communication laws, and the ability to manage confidential information and to use sound judgment in responding to crisis situations.

  • Ability to work effectively with students, faculty, staff, administration, parents and external agencies.

  • Excellent written, verbal, and digital communication skills and use of relevant technologies.

  • Excellent interpersonal skills and a high degree of professionalism.

  • Excellent organizational skills and attention to detail.

  • Demonstrated ability to take initiative, work and think independently and contribute to a team-oriented work environment.

  • Experience utilizing Electronic Medical Records.

  • Experience in education/ student affairs setting.

NOTE: Position tasks are generally required to be performed in-person at an Emory University location. Remote work from home day options may be granted at department discretion. Emory reserves the right to change remote work status with notice to employee.
