This role is a key support position for the company working as the ‘right-hand’ to provide administrative and personal support to the CEO. The ideal candidate acts as an ambassador of the organization and exemplify our company culture. This position will work in a very fast-paced environment and have an entrepreneurial approach to the daily management of our business. You are able to prioritize to handle a multitude of short and long-term projects with, at times, contending and conflicting levels of priority.

As the Executive Assistant to the CEO, you will be the sole provider of all administrative support. You will also be a resource to the executive team by providing them with information as needed to complete varying projects that they may be working on.

The ideal candidate has the ability to think strategically, see the “big picture,” recognizing impact of decisions on the operation and company and pay attention to details. Be able to communicate articulately, clearly, and concisely (verbal and written) and know what, when and how to communicate depending on audience and subject matter (sensitivity and timing). The ideal candidate should demonstrate the ability to operate independently, collaboratively and have a strong, multifaceted working style as a collaborator and a great teammate.

To ensure success in this role, the candidate should be very detail oriented and will have a strong sense of urgency with all requests and inquiries. Additionally, you are able to maintain the highest level of integrity when speaking with our clients on behalf of the CEO and provide any backup on the inquiry whenever possible prior to delivering messages. As a gatekeeper, you will redirect inquiries to other departments whenever possible and ensure they are followed through to completion.

Professional Support:

Calendar/Travel – Manage all appointments by accessing the executive team calendars and send meeting requests directly from the CEO's account to attendees.

Travel – Arrange all travel logistics, including flights, cars, hotels, and dinners. Contact clients directly to schedule meetings in an order that enhances efficiency during business trips.

Writing – Independently compose letters and emails to clients and business associates, both from dictation and on your own initiative. Ensure that all commitments made in the correspondence are followed through.

Phone – In the CEO's absence, you will be responsible for answering all calls, accurately relaying messages, and personally handling any requests whenever possible.

Meetings – Schedule all recurring meetings with leadership teams. Create and circulate agendas accordingly. Secure arrangements for group meetings, hotels, meals, and activities. Negotiate and lead contracts as appropriate.

Attend meetings to take meeting minutes and supervise all deliverables, as requested.

Presentations – Update all PowerPoint presentations that are used for executive team meetings, and various company update meetings ensuring that all information is current and accurate.

Org Structure List & Tracking – Update Master accordingly

Miscellaneous – Perform basic office tasks such as filing, updating, and formatting PowerPoint presentations. Aid with People Hub and handle various other administrative duties and responsibilities.

Education and Experience:

5+ years related experience supporting C-Suite executive or equivalent combination.

Bachelor's degree (BA/BS or equivalent experience)

PC Skills:

Position requires specific proficiencies and sophisticated skills for the following PC applications: MS Office (e.g., Word, Excel, PowerPoint, and Outlook)

Experience with AI, Chat GPT to assist with communications.

Finance and Analytical Skills.

LICENSES: Valid driver’s license required. Notary Public license preferred.

LOCATION: This position is based out of our corporate office in Sandy Springs, GA.
