Position Summary

This position performs a variety of duties related to the purchasing process by providing information related to proper procedures in the procurement of goods and services and technical assistance for the purchasing systems. This position will also assist with vendor management, purchasing policy compliance, solicitation processes, end user trainings, and report preparation.

Duties:

  • Review small dollar purchase requisitions in e-procurement system to ensure compliance with purchasing policies and procedures.

  • Assist with activities related to solicitation processes such as invitations for bid and requests for proposal.

  • Support the customer service help desk as a resource to end users in the processing and procuring of goods and services by responding to inquiries received by electronic correspondence & telephone calls.

  • Maintain vendor database to assist with set-up of new vendors and modify existing records to provide a current list of approved vendors.

  • Assist with training end users on procurement processes and systems.

  • Review open purchase orders and coordinate with end users to take appropriate action for completion.

  • Assist with gift cards & research study cards by processing cards, maintaining logs, and tracking activity.

  • Work closely with Accounts Payable & Payment Processor to ensure a smooth procure-to-pay process.

  • Generate various procurement activity reports to track & analyze spend volume, monitor compliance, and communicate to end users.

    Minimum Qualifications

  • 2 years of college education or Associate Degree.

  • 1-2 years of related experience. In lieu of educational requirements, experience may be substituted on a year for year basis.

It is MSM’s Immunization policy that all Prospective Employees are required to provide proof that they are vaccinated against COVID -19 prior to commencement of employment. If employment will commence during Flu Season, MSM requires all individuals to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless granted an exemption. Failure to provide proof of vaccination for any required vaccines or obtain an exemption from MSM will result in rescission of a candidate’s offer of employment or disciplinary action up to and including termination.
