GENERAL DESCRIPTIONThe Criminal Investigations Division of the Office of the Attorney General (OAG) is seeking an Administrative Assistant that performs complex administrative support or technical program assistance work for the Professional Standards Unit of the Law Enforcement Division. Work involves coordinating with multiple units within the division, communicating with outside vendors, disseminating information, maintaining filing systems, data entry, and administrative support work The OAG is a dynamic state agency with over 4,000 employees throughout the State of Texas. Performs asset management for division equipment through the use of CCEAR (Capital and Controlled Equipment Accountability Record) and IDET (Inter- Departmental Equipment Transfer) forms, in coordination with the agency asset manager. Assist with mail distribution for the division, including FedEx packaging Performs general office duties to include but not limited to ordering supplies, maintaining file systems, problem solving, and assisting investigative staff as needed. Provide administrative assistance related to annual in-service training for peace officers. Assists in compiling, typing, and analyzing statistical reports, scheduling events, data, making calculations, and answering phone calls between organizational units of the division. Prepares, edits, compiles administrative reports, correspondence, case management reports; trains others as needed. Performs related work as assigned Maintains relevant knowledge necessary to perform essential job functions Attends work regularly in compliance with agreed-upon work schedule Ensures security and confidentiality of sensitive and/or protected information Complies with all agency policies and procedures, including those pertaining to ethics and integrity Qualifications: MINIMUM QUALIFICATIONS Education: Graduation from high school or equivalent Experience: Three years of full-time administrative support, clerical, customer service, general office, or secretarial (or closely related) experience working with law enforcement or criminal justice; may substitute bachelors degree from an accredited college or university for the required experience on a year for year basis Knowledge of office practices and administrative procedures Knowledge of the criminal justice system Skill in using Microsoft Office Skill in handling multiple tasks, prioritizing, and meeting deadlines Skill in effective oral and written communication Skill in exercising sound judgment and effective decision making Ability to receive and respond positively to constructive feedback Ability to work cooperatively with others in a professional office environment Ability to provide excellent customer service Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG work space within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave) Ability to arrange for personal transportation for business-related travel Ability to work more than 40 hours as needed and in compliance with the FLSA Ability to lift and r locate 30 lbs. Ability to pass an extensive background check Ability to travel (including overnight travel) up to 5% PREFERRED QUALIFICATIONS Education: Bachelors degree from an accredited college or university with Criminal Justice or Law Enforcement background Experience: Communicating with investigators and personnel from local, state, and federal law enforcement agencies Knowledge: Salesforce timekeeping, Case Management Systems, LCMS system, Crimestar, OAG policies and procedures, Salesforce Travel System, and utilizing CAPPS Purchasing to create purchase requisitions. Skills: Utilizing the CAPPS system to track inventory using CCEAR and IDET forms Abilities: to work with multiple Criminal Justice Organizations Certifications: Notary Public, TCIC/NCIC certification, CJIS certification Other Language: Ability to proficiently read, write, and speak Spanish TO APPLYTo apply for a job with the OAG, electronic applications can be submitted through CAPPS Recruit.
