Primary Purpose

Under the leadership of the Director of CAP Services, this position oversees the day-to-day academic advising, career and placement operations of CAP Services and assists with the planning and execution of strategies designed to strengthen academic and career services for students. Activities include but not limited to supervision of professional staff, work assignments and scheduling, data and related systems management, staff training and departmental management in the absence of the director as needed.

Essential Duties and Responsibilities

Advising, Career and Placement Program Management

  • Provide leadership and operational expertise for services related to advising, careers and placement.

  • In partnership with the Director, oversee the day-to-day operations of CAP Services; monitoring the daily activities and identifying the needs of the department.

  • Assist in developing, planning, and implementing a comprehensive advising program, including organizing campus activities such as Bobcat Advising and Registration, JobFest and Transfer Days.

  • Maintain a caseload of advisees.

  • Serve as a resource for students, faculty, and staff regarding academic, career and placement services, addressing and resolving related issues as they arise.

Supervision and Leadership

  • Hire, train and supervise the Administrative Assistants (1.5 FTE ), setting an expectation of strong customer service for students, the community and campus partners. Promote and engage in their professional development and performance management/evaluation.

  • Assist in developing and delivering related training to new and continuing advisors ( CAP and faculty).

  • Participate in the CAP team to support the College’s mission, vision, values and goals and a shared vision of excellence in student services. Participate in continuous improvement by inviting and providing honest and timely feedback. Adjust workflow and tasks in order to support the overall needs of the team.

Additional Responsibilities

  • Participate in professional development opportunities such as conferences and trainings.

  • Engage in activities that provide service to the college such as participating in College Committees.

  • Perform other related duties and responsibilities as assigned that support the overall objective of the position.

  • Proficiency in analyzing workflow processes and implementing improvements.

  • Commitment to maintaining confidentiality and complying with student privacy regulations

  • requirements.

  • Ability to work cooperatively with and contribute to a diverse workplace through ideas or

  • experience.

  • Ability to effectively utilize common Microsoft applications (Word, PowerPoint, Excel) and

  • Ability to utilize a student information system (Banner) and reporting software (e.g., Argos).

    Ergonomic Requirements

Working hours are regular per the established work schedule. Work is performed in an ordinary office, in an office environment engaged in work of primarily a sedentary nature with the ability to sit or stand at workstation for extended periods. The employee is regularly required to sit, use hands and fingers, handle or feel objects, tools or controls, reach with hands and arms and requires near visual acuity to write, read written materials and computer screens, and sufficient hearing and speech ability for ordinary telephonic conversations.

Occasional lifting up to 25lbs. Travel throughout the College district as needed. A flexible work schedule, including evenings and weekends, may be necessary due to the nature of the position responsibilities.

Computer screen is used more than 50 percent of the time. All individuals are required to be able to perform the essential functions with or without reasonable accommodation.

Minimum Requirements

  • Bachelor’s degree in Communications, Business, Social Sciences, Communications, or related field.

  • Three (3) years’ experience working within higher education advising, career services or related areas

  • Two (2) years’ supervisory experience

Preferred Qualifications

  • Master’s degree in Student Affairs, Higher Education or related field.

  • Experience using Ellucian Banner student system
