Job Summary:

Position functions in two roles: 1) Administrative Assistant to Dean, Diversity, Equity, and Inclusion (DEI ), 2) Executive Director, Diversity, Equity, and Inclusion Programs. Position requires support of Dean, DEI and Executive Director, Diversity, Equity, and Inclusion Programs utilizing critical thinking, foresight, judgment, creativity, and flexibility to assist in the strategic and tactical operations of DEI and Start to Finish. Position performs both customer facing (students, employees, and visitors) and administration activities in direct support of each department and respective executive leader. 

Essential Functions:

  1. Primary Point of Contact In interactions with incoming and outgoing contacts, handles communications and interfaces consistent with DEI and Start to Finish's manner and guidance. Acting as DEI and Start to Finish's representative, conducts routine correspondence responding to requests and resolving issues. Cultivates a network of productive working relationships essential to the operations of DEI and Start to Finish offices. 

  2. Project Work Completes projects that span a wide variety of issues and need. Some will require analyzing data, creating spreadsheets, charts, presentations, and reports. Also plans and coordinates special events (such as MLK Day Celebration), including mailings and volunteers, and manages various logistical components of events. 

  3. Day-to-Day Administration Performs a range of functions that require broad knowledge of office operations and office management. These functions include general clerical duties such as processing mail; scanning, copying, and filing documents; routing invoices; making travel arrangements; filing expense reports; taking notes/minutes; preparing agendas; assisting with tracking of student records and program expenditures; and entering data. Manages Dean and ED's calendars, including proactively scheduling, organizing, handling logistics, supporting internal and external meetings, and prioritizing/resolving scheduling conflicts. Coordinates transportation schedule for program participants, reports and presents outcomes of program, coordinates social events and volunteering opportunities while cultivating an inclusive environment that encourages student learning and growth. 

Other Duties:

  1. May supervise student workers and perform other duties as assigned. 

Accountabilities:

This role works independently on standard tasks and under direct supervision of supervisor on complex projects and tasks. The role undertakes a range of projects and administrative tasks and maintains comprehensive, accurate, and well-organized records. 

Job Specifications:

· Related Associate degree required, Bachelor's degree preferred. Coursework in accounting/business administration preferred. Three or more years of progressively responsible administrative support experience required, which must include maintaining accurate financial records. Higher education experience preferred. Experience supporting DEI programs preferred. · Excellent information management and computer skills required, including mastery of Excel and Word. Must be highly computer literate, comfortable working with financial data, and able to analyze large volumes of data. · Demonstrated project management skills including research, analysis, and problem solving. Ability to effectively handle multiple, simultaneous, and complex tasks and projects. · Functions effectively in a demanding, high stress environment created by multiple concurrent projects, short timelines, and the requirement for high degr
