Requirements

  • University degree

  • Min. 5 years of experience in people management, communication and Back Office

  • Presentable appearance, good communication and organizational skills

  • Responsible approach to tasks, reliability, teamwork

  • Customer orientation and innovation

  • Good listening skills, interest in ethics

  • Good PC skills (Word, Excel, PowerPoint)

  • Fluency in English and Czech at a good communicative level, both written and verbal as a must have requirement

Responsibilities

Supervise administrative team of 2-3 people to:

  • Manage factory visits (transfer, catering/refreshment, meeting room, restaurant, Invitation letter …)

  • Manage fleet of company cars. Manage activities with leasing company. Rent a car during probation period of new comers. Register the plate to CCS. Organize check / service, repair, tires, cleaning with dealer or leasing company. Manage reports from employees (km, expenses, …). Control invoices. Make link with HR/Payroll for penalties. Manage common car planning & tracking. Collect Toll electronic stickers

  • Post: receipt & send, sort & distribute internally

  • Office supplies and PPE warehouse: Create and send orders (banf) for all departments. Manage the stock

  • Approve invoices in Cora (trainings for employees, language school …)

  • Petty cash payments. Support employees for reimbursement

  • Coordinate business trip. Support employees on how to ask for company card, create vendor IN, report travel expenses in Concur. Create profiles of traveler in KDS

  • Medical check: Scan & send to GPS (periodic & new medical exams)

  • Attendance: Update daily according to passes, assignments & overtime sheets. Manage & update employees in Cominfo system. Issue & manage ID cards

  • Training plan for all IND/DIR employees: Check validity of mandatory trainings, order trainers & update in database

  • Quality ECN: Set up quality data in SAP

  • Production data: Add results to Production figures according to SAP & tasks

  • Production orders & kits: Archive produced orders (scan to SharePoint, save to binders). Check daily of completed orders & back reports in SAP. Release orders. Update kit production plan according to line production plan

  • Print labels and checklists for released orders

  • Inbound/Outbound transport invoices: Transform invoices from PDF to excel. Filter by suppliers

  • Help on preparation of quarterly townhall

  • Support pulse surveys organization (3x /year) and communicate ‘You said, We did’

  • Collect information’s from all areas and make internal newsletters with regular update about the company, the factory and their people (KPIs, announcement of new employees, organization changes, open positions, events, good practices, interview / present some collaborators and their job, Success story, Products installation in customers)

  • Prepare communication and send informative emails to employees about visits, events, social activities...

  • Participate to newcomers onboarding

  • Organize regular social events (breakfast, lunch with new employees or HIPO with managers, Christmas party, family day, sport day …)

  • Support promotion of the factory externally through external events (job fairs, cooperation with school and universities …)

  • Be in contact with EU team to follow Carrier standards

  • Promote the site by sharing all news and visits on social media (Yammer, LinkedIn …)

  • Meet with local town/city Mayor

  • Establish relationships with local schools (scholarship opportunities, training, funding etc.)

  • Support organization of Carrier, customers and suppliers visits / meetings

  • Make visual advertising for job vacancy / hiring (Marketing / To promote the company and factory)

  • Create newsletter for (internal) customers - What’s happen in the factory

  • Organize ‘Walk in my shoes’ to allow collaborators to discover new jobs

  • Promote the Carrier way (Vision, Values, Culture)

  • Organize photos session of all collaborators and display portraits everywhere

  • Support benchmark between factories to duplicate best practices

  • Provide training for employees. Ensure all employees join mandatory trainings

  • Ensure the communication from HQ

  • Correct translations of training‘s material

  • Answer questions related to ethics

  • Investigate of potentional ethics cases

  • Manage ethics and compliance survey

  • Ensure visibility of ECO and reachable (posters, emails, communication)
