Position Summary:

Florida Atlantic University is seeking an Associate Director, Academic Personnel - Boca Raton, FL.

The Associate Director of Academic Personnel initiates, manages, and evaluates a broad spectrum of academic personnel initiatives, including the development of processes related to collective bargaining, faculty hiring, assignment/evaluation, sabbaticals, and promotion and tenure. Under the guidance of the Associate Vice President for Academic Finance and Administration, the incumbent acts as a liaison to executive and academic leadership, including Vice Presidents, Associate/Assistant Provosts, Deans and Chairs/Directors, Faculty, as well as the staff of the State University System of Florida's Board of Governors.

Summary of Responsibilities:

  • Leads, manages, and gives ongoing trainings in Interfolio (faculty information system) to faculty, Chairs, Directors, and Deans.

  • Ensures required personnel reviews and procedures are performed and recorded in a timely manner by tracking individual actions and maintaining timelines and deadlines for submission of required results.

  • Collaborates in the preparation and collation of background materials on faculty undergoing review for promotion and tenure.

  • Works with Legal Counsel on personnel matters and serves as a liaison for discovery and public records requests relating to academic personnel. Processes and maintains faculty grievances.

  • Other projects include updating academic personnel policies, implementing, and maintaining e-filing and e-portfolio systems for faculty personnel documents, and managing professional development programs for faculty members and academic leaders.

  • Responsible for producing and maintaining reports such as faculty hires, promotion and tenure, and other ad hoc reports for the Provost and Vice Provost and other departments as needed.

  • Manages the academic appointments and unit structures in Workday, ensuring that they are accurate and updated on a regular basis as faculty change roles, get promoted, or resign from the university.

  • Manages the sabbatical application, review, and approval process.

  • Ensures promotion and tenure policies and guidelines memos are updated annually and manages routing of promotion and tenure e-portfolios through Interfolio. Also assists the Associate Provost and University Promotion and Tenure Committee Chair with the Promotion & Tenure Open Forum.

  • Ensures Post-Tenure Review (PTR) and Sustained Performance Evaluation (SPE) policies and guidelines are updated annually and manages routing of PTR/SPE e-portfolios through Interfolio. Also assists the Associate Provost with candidate notification and selection, as needed.

  • Manages the new faculty orientation and faculty administrator bootcamp events.

  • Maintains faculty offer letter templates and reviews offer letters for compliance.

  • Serves as Chair for the Working Group on Personnel for the accreditation process and periodic reviews.

  • Responsible for coordinating the planning and design of course offerings and communications with the Association of College and University Educators (ACUE) team in collaboration with the Associate Provost for Academic Personnel and his/her designee.

  • Responsible for tracking faculty appointments within the Office of the Provost and working with the Provost to issue reappointment letters, as needed.

  • Supports, coordinates, and staffs Collective Bargaining negotiation meetings, including preparing materials, scheduling meetings, recording minutes, posting CBA to the website, etc.

Minimum Qualifications:

Master's degree from an accredited institution in an appropriate area of specialization and four years of appropriate experience; or a bachelor's degree from an accredited institution in an appropriate area of specialization and six years of appropriate experience required.

Preferred Qualifications/Skills:

Strong oral and written communication skills, organizational skills, and attention to detail.

Salary:

$75,000 - $90,000 per year.
