BOUNTIFUL CITY CORPORATION Administrative Assistant - Streets in BOUNTIFUL, Utah

Overview:

Because of the overlapping responsibilities in the Street, Storm Water, Sanitation, Landfill, and Recycling the Administrative Assistant has working responsibilities in all five divisions. The list of tasks is illustrative only and is not a comprehensive listing of all functions.

 

Essential Job Functions:

Answers questions from the public and furnishes information on department related projects (paving roads, snow plowing, etc.).

Researches and prepares special reports including gathering and summarizing data.

Organizes and expedites flow of work through department offices.

Performs all billing functions for street maintenance, outside vehicle maintenance, fuel, and commercial billing for the landfill.

Answers calls related to recycling and refuse collection (missed cans, damaged cans, replacement cans).

Schedules and prepares materials for meetings and coordinates all scheduling of appointments for the Department Director.

Assist the Department Head in coordinating administrative projects, tasks, budget preparation, and department operations.

Acts as intermediary between the Department Head and the public including screening telephone calls, letters, visitors, and scheduling meetings and appointments.

Organizes, maintains files and records for supervisors and all related departments.

Prepares and maintains payroll and other personnel related records and reports.

Prepares and processes invoices, purchase orders, and requisitions to purchase equipment, materials, and supplies.

May supervise other office personnel as needed and perform other related duties as assigned.

 

Knowledge, Skills, and Abilities

Knowledge of office management practices and procedures, departmental operations and functions, and general bookkeeping.

Knowledge of computer software used to complete assigned projects.

Skill in establishing and maintaining effective working relationships with other staff, department heads, and the public.

Skill in following complex oral and written instructions, policies, and procedures.

Skill in operating a variety of office equipment, including word processor, computer terminal, adding machine, and telephone and radio communications equipment.

Ability to maintain and handle confidential information.

Ability to work under pressure and be multi-task oriented.

Ability to sit for long periods of time operating a telephone, computers, and all other equipment necessary to perform the job.

Education and Experience:

High School diploma

Three years of secretarial support work

Completion of a post high school training program in Secretarial Science, Office Management, or closely related area may substitute for one year of the required experience

Must be able to type 55 wpm

Must have a valid Utah Driver License

Successfully pass a background check, a driving record check, and a pre-employment drug test
