JOB SUMMARY:

The College Receptionist is responsible for greeting students, faculty and all college visitors. In addition, the receptions is responsible for professionally answering and appropriately directing all telephone calls processed through the switchboard, as well as, posting/sorting all incoming/ outgoing mail, assisting Student Affairs with admissions and varies tasks which can be handled at the reception desk in the lobby.

CHARACTERISTIC JOB TASKS AND RESPONSIBILITIES:

  • Promotes and preserves the mission of LECOM.

  • Act as departmental representative with faculty, staff and visitors in a professional, friendly manner at all times.

  • Maintain confidentiality, professional appearance and pleasant demeanor.

  • Responsible for greeting students and faculty.

  • Responsible for answering and directing all telephone calls processed through the switchboard. Assist and track all long-distance telephone calls.

  • Post and sort all incoming and outgoing mail.

  • Maintain the postage meter and order postage supplies.

  • Sort and date stamp all admissions documentation for all programs.

  • Assist with the applicant admissions and interview process for all programs as needed.

  • Prepare informational packets for recruitment and applicant interviews.

  • Assist with the collating and processing large institutional mailings.

  • Assist with courier, package and freight deliveries.

  • Database management.

  • Student interaction.

  • Faculty facilitation.

  • Supports student affairs staff with special projects.

  • Perform other related duties as assigned.

    KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS: Must possess required knowledge and be able to explain and demonstrate, with or without reasonable accommodations, that the essential functions of the job can be performed.

  • Strong communications skills are essential as well as computer literacy (Word, PowerPoint, Outlook, and Excel) and accurate data entry skills.

  • Excellence organizational skills must be trainable on the Institutional Data Systems, Jenzabar and Exam Soft.

  • Knowledgeable of Microsoft Office Suite.

  • Maintain an established work schedule.

  • Effectively use interpersonal and communications skills including tact and diplomacy.

  • Effectively use organizational and planning skills, including attention to detail and follow-through.

  • Must also possess a clear and pleasant voice to answer and place telephone calls and promote a positive image of LECOM.

  • Assessing and prioritizing multiple tasks, projects, and demands.

  • Maintaining confidentiality of work related information and materials.

  • Establishing and maintaining effective working relationships.

  • The ability to work cooperatively and collegially with others, consistent with a workplace of dignity and respect and EEO rules and regulations.

    MINIMUM QUALIFICATIONS :Education and experience equivalent to: High School Diploma . Work experience in an educational institution a plus.

    PHYSICAL DEMANDS :

    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee must be able to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; talk or hear. The employee must have the ability to lift and/or move up to 25 pounds. Specific vision abilities include ability to distinguish the nature of objects by using the eye.

    WORK ENVIRONMENT:

    Employees are responsible for performing their duties in an environment that is free from discrimination, intimidation, coercion or harassment, including sexual harassment. Work is performed primarily indoors in an office setting. The noise level in the work environment is low to moderate. While performing the duties of this position, the employee may be required to travel.

    SAFETY :

    Assists in the creation of a culture of safety and environmental protection by performing work safely in accordance with departmental safety procedures. Operates equipment safely and reports any unsafe work conditions or practice to supervisor.
