Administrative Assistant Finance is responsible for providing support to the FSSC directors and Finance teams as well as coordinating site-wide activities with other Zebra Technologies administrative assistants. This position is performing a variety of administrative tasks, including managing and recording Purchase orders, organizing and scheduling meetings and larger events, supporting our visitors, regularly tracking our spend, organizing and tracking our assets working closely with IT and Facilities departments.

Responsibilities:

  • Assist in processing of financial documents such as purchase orders, invoices and bills supporting Accounts Payable and General ledger activities.

  • Process and prepare reports and documents related to our spend, inventory, attendance and other relevant matters. Build and report analytics related to FSSC matters. Support spend reduction activities.

  • Create and distribute minutes from meetings, organize surveys and provide summaries, collect data from FSSC departments and consolidate and distribute the outputs.

  • Manage office supplies for the department

  • Manage and track departmental inventories in close cooperation with IT and Facilities

  • Organize, arrange and coordinate large meetings and events including foreign visits and meetings with external parties; support business travelers

  • Organization, coordination and support of internal trainings, workshops and other development activities

  • Maintain Finance SharePoint, org chart, newsfeed, wallboard screens and other Finance content

  • Organize for multimedia content from events

  • Physical mail management for Finance teams and document sharing coordination

  • Cell phone administrative support for Brno site

  • Maintain relationship, communicate and resolve issues with suppliers. Provide administrative support to suppliers.

  • Cooperation with other administrative assistants in Zebra Technologies worldwide

  • Help with new team members onboarding

  • Manage professional qualifications suppliers, organizational support of qualifications for the Finance team

  • Manage business correspondence, monitor “Datova schranka” and action relevant items

  • Continuously improve assigned processes

  • Perform other related duties as assigned or required.

Qualifications:

  • Bachelor’s degree in Finance, Accounting, or related field.

  • Proven 3+ year experience as a Finance Administrative Assistant or similar role.

  • Proficiency in MS Office, particularly Excel, and financial software applications, namely Oracle.

  • Strong numerical skills and attention to detail.

  • Excellent English skills; written and spoken

  • Positive, open-minded and pro-active approach

  • Excellent organizational and multitasking abilities.

  • Developed communication and interpersonal skills.

  • Ability to work independently and as part of a team.

  • Ability to handle confidential information with discretion.

  • Project management experience a plus

  • Willingness to further develop own skills
