About the role

As an Office Coordinator you are reporting to the Sanofi Budapest HUB Head and are responsible for support to all HUB members, especially all senior stakeholders, visitors, new joiners. On top of that you are a great communicator with interpersonal and organizational skills with exposure to the senior management.

Key Responsibilities

Operation:

Manage and monitor the day-to-day operation of office administrative task for the center’s management team ensures smooth workflow and efficiency related to administration

Contributes in the elaboration of current professional topics, in coordination and monitoring of the task

Coordinate the work experience environment closely with our local service provider (Sodexo).

Create, maintain and communicate all the local hub administrative process to our hub team members. Ensure compliance with company policies, procedures, and regulations. Maintain confidentiality and handle sensitive information with discretion.

Facilitate domestic and international travel arrangements for above L5 management team

Event Coordination: Assist in planning and organizing office events, meetings, and conferences. Coordinate logistics such as venue booking, catering, and audiovisual arrangements.

Responsible for E2E PO process administration for: Team Building, Local Hub Events, external supplier/services

Responsible for Time management from the Hub on a monthly basis ensuring the closing period and handling correspondence and managing files and records.

Support additional adhoc requests by providing guidance to the local hub team members.

Organizational:

Being a strong point of contact on telephone to ensure all queries and issues are dealt with, or escalated as appropriate.

Support Hub Head on the preparation for business negotiations, discussions, supplies hostess tasks

Written communication - correspondence in foreign and Hungarian language according to the professional, formal and draft requirements.

Implement appropriate filing and other office procedures to facilitate a highly organized and smoothly functioning division

Managing Finance reporst with Global Finance Team.

Registration of external orders contracts and invoices

Background and Experience

2 + years of experience as a back-office assistant, office assistant, virtual assistant or in another relevant administrative role, or communications role.

Graduate in any discipline with Computer skills (Word, Excel, Outlook, PowerPoint) and office equipment.

Excellent communication skills, both written and verbal, with a professional and friendly behavior.

S trong attention to detail, accuracy, and time management skills.

Ability to work independently, prioritize tasks, and adapt to changing priorities in a fast-paced environment.

Familiarity with basic financial and budgeting concepts is desirable.

Fluency in Hungarian and English are mandatory.
