As the Order Management Specialist, you will be joining a dynamic environment as part of the Clinical Accessories Order Management team. In this role, you will have an opportunity to work alongside order management and customer service professionals within various fields related to the execution of customer orders in the Italian region. You will be responsible for activities and processes that help the sales organization achieve business objectives. You will execute within a well-defined sales/commercial framework. There is generally a step-by-step sequence of standard tasks which need to be followed to achieve an end result, and work is typically subject to tight oversight. This may be in form of human or systems checking. You may be responsible for supporting targeted clients, stable regions, and/or small sales territories.

Job Description

Roles and Responsibilities

  • Validating and booking customer orders with accuracy and according to compliance requirements

  • Managing open orders backlog to ensure timely fulfillment , delivery , invoicing , and closure

  • Communicating and collaborating with different stakeholders, both internal and external, in various functions (commercial team, manufacturing, finance, logistics, warehouse, controllership, transportation companies etc.)

  • Identifying and escalating order execution risks and issues

  • Processing Returns and Out Of Box Failures

  • Ordering demo inventory in support of Commercial Sales

  • Creating and updating Work Instructions and Job Aids

  • Handling customers inquiries

  • Managing customer disputes and credit

  • Developing conceptual knowledge of own discipline. Developing knowledge of own sales territory, product lines, markets, sales processes or customer groups. May include support roles with specialized expertise or technical knowledge in broad area

  • Applying general knowledge of business developed through education or past experience. Understanding how work of own team contributes to the area

  • Resolving issues using established procedures. Consults supervisor or more senior team members for issues outside of defined instructions/parameters

  • Supporting sourcing and replenishment activities for order fulfilment of Purchase to Stock materials

  • Working in compliance with the documented quality system and reports any anomalies

  • Coordinating shipments with forwarder

  • Managing customer formalities

Required Qualifications

  • Bachelor's degree from an accredited university or college (or a high school diploma with relevant experience)

  • Effective time management and organizational skills ; able to balance multiple priorities

  • Excellent interpersonal , verbal and written communications skills

  • Fluent in English, Italian & French (both written and spoken); additional European languages are an asset. Basic experience in Sales & Client Management Support​

  • Strong work ethic and ability to work well both independently and within a team.

Desired Characteristics

  • Ability to exercise independent judgment consistent with department guidelines.

  • Previous experience using independent thought processes to plan ahead, process information, maintain workflow and anticipate future needs of the team.

  • Strong organizational skills with high attention to detail.

  • Proficiency in PowerPoint, Word, Excel and Outlook, with an ability to learn new systems.
