Job Summary:

The HR Assistant is the primary contact person for employee’s contacting HR. The HR Assistant will help employees navigate whom to contact to reach the most appropriate party. This position will assist the HR department with daily functions and seasonal projects.

Essential Job Duties:

  • Sort and distribute department mail daily.

  • Assist in maintaining conference room scheduler and calendar.

  • Process outgoing, return receipt, certified and special delivery mail which may include UPSP, Fed Ex, etc. on a daily basis.

  • Reserve meeting rooms for all employee orientations, TCI, SCIP, annual CPR trainings.

  • Assist in facilitation of new hire onboarding meetings.

  • Assemble all new hire orientation folders and update content as needed.

  • Enter and submit requisitions to be paid for HR department.

  • Update and enter information in agency databases such as Dayforce and other similar programs.

  • Assign ID badge security access levels in system for new hires and changes employee security levels as requested by supervisors.

  • Prints badges for new hires, as well as replacement badges.

  • Assists in distribution and coordination of items for employee recognition programs.

  • Represents OLV Human Services at job fairs/recruitment events. Travel within the WNY area is required.

  • Provide other administrative support such as ordering supplies, food, distribution OLV Human Services apparel, copying, shredding, scanning, filing, etc. to the HR department as requested.

  • Any other duty as assigned by your supervisor.

Skills:

• Excellent written and verbal communication skills

• Provide superior customer service

• Aptitude for strong organization and effective multitasking abilities

• Detail orientation with numerical and keyboarding accuracy

• Proficient computer skills such and experience with Microsoft Office (i.e. Word, Excel, Outlook).

• Confidentiality, must maintain a high sense of confidentiality

• Self-Motivated

• Positive Attitude and professional appearance

• Must be able to work independently and to carry out assignments to completion and follow instructions given, carry out daily and weekly routines.

Required Education and Experience:

• High School diploma or GED with at least 3 years working in an administrative or similar experience OR Associates/Bachelors with some experience working in an administrative or similar experience

License/Registration/ Certification:

• Must be certified as a NYS Notary within 3 months from start date

• Valid NYS Driver’s license

Training Required:

– New Hire Orientation

Physical Requirements:

The overall nature of the position is sedentary requiring little physical effort with occasional light physical exertion required. There is little, if any, exposure to environmental conditions

• The constant physical demand of the position is sitting.

• The frequent physical demands of the position are standing, walking, climbing, talking, hearing, repetitive motions, and eye/hand/foot coordination.

• The occasional physical demands of the position are lifting, carrying, pushing, pulling, balancing, stooping, crouching, reaching, handling, grasping, and feeling.

Pay:

$16.00/hr - $21.00/hr, based on years of applicable experience
