Xylem Admin HR Specialist in Calamba, Philippines

ADMIN

  1. Acts as the main owner of Admin related contract for services such as Janitorial, Messengerial, Canteen, Shuttle and the like.

  2. Manages the smooth delivery of Janitorial services required at the Facility.

  3. Check and coordinates schedule of assigned Janitors that is aligned to Xylem’s requirement.

  4. Supplies Management : Office & Pantry supplies monitoring, inventory, controls, issuance and PR

  5. Shuttle arrangements and management.

  6. Canteen management and arrangement for employees and office requirements.

  7. Billing management for 3rd party services such as janitorial, security, recruitment services, payroll services, shuttle, canteen, insurances, travel

agency and the like, includes but not limited to preparation of billing for approval and endorsement to Finance until successful payment to

vendors.

  1. Doing weekly employee schedule consolidation for management approval and coordination with services.

  2. Management of common areas like conference room, training room, furniture and assets within the Facility.

  3. Handles corporate card issuance and processing.

  4. Handles travel requirements of employees. Works with Accredited Travel Agency for employee requirements.

  5. Acts as Receptionist and take calls and do necessary transfers calls promptly, relay and receive voice messages.

  6. Receives and dispatches incoming mails and documents and ask messenger to distribute to addressee.

  7. Responsible for visitors’ screening.

  8. Handle sending to employees for any employee life events happening like, fruits sending when sick, birthday cake vouchers, flower wreaths

for burials.

  1. Handles scheduling/arranging of employee orientation for new hires.

  2. Assists in all training and employee relation activities, as the need arises.

  3. Assist in processing Medicine Reimbursement claims of employees.

  4. Other related tasks that may be assigned form time to time by the immediate superior.
