As an Assistant Director you will:

  • Oversee and maintain data integrity of alumni and donor records and to manage accuracy and timeliness of gift recording in Harvard’s database, ensuring compliance with University, IRS and FASB standards

  • Manage daily gift and pledge workflow, including creation and assignment through CashPro

  • Ensure accurate and timely entry and reconciliation of cash, pledges and crediting

  • Develop, implement, and evaluate procedures and processes with a focus on efficient and accurate data entry

  • Review gift audit and biographical integrity reports, and work with team to process gift modifications and to update biographical data. Produce and distribute internal gift modification reports

  • Coordinate with the Donor Relations team to produce and review bi-annual pledge reminder data. Track outstanding pledges; monitor pledge payments, and payment schedules

  • Produce bi-weekly and monthly gift reports for HLS student orgs, research programs and clinical administrators, respond to ad hoc data requests, and resolve gift issues

  • Provide expertise into the annual University-wide pledge review process, working with senior management to confirm and clarify pledge details on specified FASB and non-FASB pledges, and update pledge and giving information as needed after final review

  • Collaborate with University Alumni and Development Services and the HLS Finance Office on the administrative process of creating new gift allocations; assist with gift term and new fund requests

  • Stay up to date on University gift and bio data procedures and incorporates them into daily workflows with team; keeps overall development staff updated and aware of procedures and protocols

  • Communicate with alumni and donors to confirm gift/bio data, resolving gift related errors, including declined credit cards, incomplete checks, and unspecified designations

  • Manage Donor Service and Alumni Records inboxes

  • Serves as a member of the University wide Gift Management Group

The Donor Services Gift Management team at Harvard Law School is responsible for managing all gift and biographical data within the alumni affairs and development database. The Assistant Director, Donor Services Gift Management is responsible for overseeing the day-to-day operations of the gift processing and alumni records team, ensuring that all gifts and bio updates for HLS are accurately recorded and in compliance with University policies and guidelines.

This role collaborates closely with University Alumni and Development Services, along with other departments across HLS on reconciling gift related matters and the recording of gifts. The role also manages external communication with donors and alumni, and serves as the primary point of contact for all gift related inquiries and issues. Working as part of a larger team, the Assistant Director will have responsibility for managing two staff, including training, performance management and goal setting.
