  • An interest in learning basic research skills (e.g. data gathering, data analysis) is welcomed, but not required.

  • The Program Manager must handle confidential material with discretion, have superior team and service orientations, exemplify outstanding judgment, prioritize competing priorities and interests, meet deadlines, and work well both independently and in teams.

  • A passion for and record of planning and executing high quality processes, events, and deliverables are essential.

  • The Program Manager must be proficient in Microsoft Office and Outlook.

  • Proven project and/or program management skills required.

  • Previous experience in academia or health care will be highly valued.

  • Experience with quality improvement, healthcare transformation, and/or primary care are highly desirable.

Additional Information:This is a one-year term position from date of hire with possibility of extension, contingent on work performance and continued funding to support the position.

This position is hybrid, with 1-2 days in the office each week preferred to co-work with the grant team and faculty.

Travel required: In addition, this role will partake in site visits to each of our three grant partners twice per year. These trips will be paid for by the corresponding grants.

Job Function:General Administration Position Description:

The HMS Center for Primary Care is recruiting for a Program Manager (PM) for its Systems Transformation team. The Program Manager reports to the Managing Director, and works closely with the Faculty Director of Systems Transformation, collaborating with Center leadership, participating practices, vendors, and constituencies. The PM must be organized, thorough, and energized by change. The ability to function in an entrepreneurial setting is essential. The PM must handle confidential material with discretion, have a strong team and service orientation, must exemplify outstanding judgment and flexibility, prioritize and meet deadlines, and work independently and in a team environment with minimal supervision.

The PM will spend the majority of his/her time supporting the Quality Improvement teams on the Technology Enabled Education for Community Health (TEECH), a 5-year program to equip primary care practitioners (PCPs) in rural areas with the knowledge necessary to provide high-quality specialty care. The PM will also support the work of a virtual, accredited healthcare leadership course for Medical and Clinical Directors, and projects with Center partnerships such as Upstream, the National Association of Community Health Centers and others. The PM's portfolio of programmatic responsibilities will evolve over time, but the responsibilities outlined below are applicable to the full range of work. Experience or deep interest in Quality Improvement or Performance Improvement work is strongly preferred.

  • Manages & co-leads/day-today activities for TEECH project.

  • Handles a significant amount of detailed work as it relates to project management, research & external communication.

  • Develops and implements complex administrative systems and procedures.

  • Serve as the Center’s representative for program and project work at select meetings and calls when senior team members are unavailable.

  • Advises and trains appropriate external partners, including participating partner sites accordingly, including monitoring of PDSA cycles, guidance for data collection and broadcasting, assistance writing project charters and other QI inflected work.

  • Serve as principal contact and liaison with leadership, innovators, vendors, faculty, staff, mentors, students and others for designated programs, projects, events, and assignments.

  • Plan and manage all agendas and logistics for programs, calls, meetings and other assignments.

  • Support curriculum development and planning by helping to identify and secure guest speakers, triaging requests, and conducting background research.

  • Develop timelines and maintain close communication with grantees, team members, leadership, stakeholders, and others to ensure adherence to milestones and the completion of deliverables.

  • Manage application processes including grant search, request for applications development, submission and review, selection committee meetings, and notifications.

  • Assist with the writing, editing, and review for request for applications, newsletters, media deliverables, grants, and other materials related to designated programs, projects, events, and assignments.

  • Collaborate with programmatic and communications teams to write up, publish, and disseminate findings of Center work.

  • Oversee the execution of team action items in a timely manner.

  • Develop and maintain dashboards and other reporting materials.

  • Execute all admin and operational functions for designated programming and projects, including but not limited to the execution of meetings and events (virtual and in-person, including pre and post activities); preparing collateral including detailed agendas, proposals, and reports; gathering data and research content; manage team data repository; etc.

  • Manage day to day finance for the team, including the monitoring and reconciliation of all expenditures and reimbursements, adherence to budgets, etc.

  • Contribute to the Center’s goals by providing support to other programs and teams.
