Robert Half Part Time Executive Assistant in Chicago, Illinois

Description

We are offering a short term contract employment opportunity for a Part Time Executive Assistant in our traditional office located in CHICAGO, Illinois. As an integral part of our team, you will predominantly focus on providing high-level administrative support, involving tasks such as calendar management, client interactions, and travel arrangements.

Responsibilities:

• Managing and maintaining the CEO's calendar and schedules for other executives as needed.

• Handling a daily volume of 10-20 incoming calls and ensuring they are appropriately transferred.

• Being the primary point of contact for office visitors, greeting clients and providing a welcoming environment.

• Coordinating travel arrangements for the CEO and other executives, including both domestic and international travel.

• Performing traditional office manager duties to ensure smooth office operations.

• Overseeing the stocking and maintenance of the break room.

• Utilizing various software systems such as ADP - Financial Services, Cisco Webex Meetings, Concur, CRM, and Kronos Timekeeping System for various administrative tasks.

• Managing office inventory and maintaining adequate office supplies.

• Handling inbound calls and correspondence professionally and efficiently.

• Representing the organization as the first point of contact for visitors and clients.

Requirements • Minimum of 2 years experience as an Executive Assistant

• Proficient in ADP - Financial Services

• Experience using Cisco Webex Meetings for scheduling and coordinating

• Familiarity with Concur for expense reporting

• Demonstrated skills in using CRM for customer relationship management

• Knowledge of Kronos Timekeeping System and About Time software

• Proven ability in Calendar Management

• Excellent Communication skills, both written and verbal

• Experience in managing Conference Calls and Correspondence

• Ability to track inventory and Maintain Office Supplies

• Experience in Answering Inbound Calls professionally and efficiently

• Proven track record in Arranging Travel for executives

• Must possess strong organizational and multitasking skills

• Attention to detail and problem-solving abilities

• Ability to work independently and as part of a team

• High level of discretion and confidentiality

• Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel)
