JOB SUMMARY

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Executive Vice President (EVP) of JRA. The ideal candidate will possess exceptional administrative and communication skills, with a proven ability to handle multiple tasks and prioritize effectively in a fast-paced environment. This role is integral to ensuring the EVP's day-to-day operations run smoothly, allowing them to focus on strategic initiatives and leadership responsibilities.

KEY TASKS

Role & Responsibilities:

  • Administrative Support:  Provide comprehensive administrative support to the EVP, including managing calendars, scheduling meetings, coordinating travel arrangements, and preparing expense reports.

  • Communication Management:  Serve as the primary point of contact between the EVP and internal & external stakeholders. Handle correspondence, draft emails, and ensure timely responses to inquiries.

  • Meeting Coordination:  Coordinate with the EVP to schedule meetings, including preparing agendas, taking minutes, and following up on action items. Ensure all necessary materials and resources are available for meetings.

  • Project Assistance:  Assist with special projects and initiatives as directed by the EVP. Conduct research, compile data, and prepare reports and presentations.

  • Confidentiality:  Handle sensitive information with the utmost discretion and maintain confidentiality at all times.

  • Office Management:  Oversee the organization and maintenance of the EVP's office, ensuring a professional and efficient workspace. Manage office supplies and equipment as needed.

  • Event Planning:  Assist in the planning and execution of company events, including team meetings, workshops, and client presentations.

  • Liaison Role:  Act as a liaison between the EVP and other departments within the organization, facilitating effective communication and collaboration.

  • Executive Support: Coordinating meetings and alignment of other JRA executives in terms of travel support, schedule alignment, and other administrative functions as required. 

    Qualifications & Skills:

  • Education:  Bachelor’s degree in Business Administration, Communications, or a related field preferred.

  • Experience:  Minimum of 5 years of experience in an executive assistant role. Strong preference for experience within a design, architecture, or creative industry.

  • Skills:

  • Excellent organizational and time management skills.

  • Strong written and verbal communication abilities.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Ability to multitask and prioritize effectively in a fast-paced environment.

  • High level of professionalism and interpersonal skills.

  • Strong problem-solving abilities and attention to detail.

  • Discretion and confidentiality are essential.
