Berkshire Hathaway HomeServices PenFed Realty (PenFed Realty), a wholly owned subsidiary of PenFed Credit Union (PenFed), is hiring a Property Manager to work onsite at our Fort Campbell office located in Clarksville, Tennessee. The primary purpose of this job is to be responsible of managing the daily operations of a large portfolio of properties and a team of property management professionals. This position will have overall management responsibility for inspections, videos and vendor work while maintaining open communication with property owners.

  • Work closely with Agents and owners to bring a qualified tenant into a homeowner’s property.

  • Communicate with owners the results of tenant applicant’s findings and take appropriate action based on acceptance or rejection.

  • Investigate complaints, disturbances and violations and resolve problems following management.

  • Inspect property routinely to determine the necessity of repairs or maintenance, including written documentation of findings, video and photographic evidence.

  • Recommend maintenance work to be performed and inform owner and tenant of findings for each inspection.

  • Solicit and analyze bids from contractors for repairs, renovations, maintenance, and following up with contractor and tenant to make sure project has been completed.

  • Plan, schedule and coordinate general maintenance, major repairs and remodeling or construction projects for residential properties.

  • Maintain owner and tenant records, maintenance records, property availability within the inhouse database system.

  • Meet with prospective tenants to show properties, explain terms of occupancy.

  • Market vacant homes to prospective tenants through leasing Agents, advertising, MLS or other methods and ensure that lockbox and signs are on property.

  • Handle all management inquiries/leads in a timely and professional manner after verifying tax records to verify ownership and rental comparable regarding their property.

  • Meet with new owners to present documentation of agreements, disclosure forms, new owner’s packets, obtain signatures, answer questions, collect funds for HOA payments, maintenance reserve, collect and/all keys, passes, garage door openers, manuals, HOA docs ensuring compliance of all regulations, guidelines and environmental laws.

  • Collect, approve and properly code for payment, all bills pertaining to maintenance and utility of home for accounting department to make payment.

  • Pull reports on a monthly basis from the in-house database system and send letters for unpaid late rents and following-up to ensure payment is received.

  • If applicable, work closely with insurance companies, home warranty companies, appliance service agreement vendors in order to have appliance and larger items repaired or replaced.

  • Coordinate efforts with tenant regarding the move out process including notification to owner.

  • Review all information on inspection reports, videos and photos and if necessary, obtaining estimates for any damages of property, water bill final payment to determine release of security deposit funds to vacating tenant within the timeframe allowed by state guidelines.

  • Communicate, meet and provide documentation for all returning owners providing owner with all documents that was originally turned over to property management, verifying all utilities has been returned to owners name, final walk through inspection of property with owner prior to owner’s return to property.

  • Assist with establishing incentive schemes for Real Estate Agents as it relates to rental properties.

This role is responsible for ensuring business continuity.

Qualifications

Equivalent combination of education and experience is considered.

  • Bachelor’s Degree in a related field or a combination of education and experience that provides necessary skills and knowledge to satisfactorily perform the essential job functions.

  • Minimum of five (5) years related experience. Previous experience in real estate or property management preferred.

  • Excellent business communication skills and the ability to multi-task and are critical.

  • Strong organizational and interpersonal skills required.

  • Experience with Microsoft Office (Word, Excel, PowerPoint, Outlook, MS Publisher) and property management software is highly desirable.

  • Ability to create and execute a marketing plan focusing on social media and online presence.

Licenses and Certifications

KY & TN Real Estate license required

Work EnvironmentWhile performing the duties of this job, the employee is regularly exposed to an indoor office setting with moderate noise.

Most roles require working in an office setting with moderate noise and the ability to lift 25 pounds.

TravelAbility to travel to various worksites and be on-call may be required.
