POSITION OBJECTIVE
The Custom Program Manager contributes to the growth and continued success of Weatherhead Executive Education Programs. The program manager is responsible for the day-to-day management of custom executive education programs, ensuring efficient program delivery, client satisfaction and operational excellence. This role involves close collaboration with faculty and corporate partners to ensure tailored program delivery, while managing all logistical and operational aspects to guarantee a successful learning experience. In addition, the program manager is responsible for monthly Income and expense review for programs, P-Card transactions and monthly reconciliation for associated expenses.
ESSENTIAL FUNCTIONS
- Program Execution¿ Manage the planning and execution of custom programs by developing and maintaining program schedules and ensuring all deadlines are met. Serve as point of contact for clients and participants to ensure their needs are addressed before, during, and after programs. Coordinate catering, facilities, parking, materials and technology logistics for programs. Manage calendar invites, confirmation calls, and any other types of participant registration. Manage the post program evaluation, track program performance metrics, collect feedback and make recommendations for program improvements. Maintain the private program website and ensure compliance with university policies and procedures. (60%)
- Program Design Meetings¿ Work with faculty to develop program agendas, materials and content. Scheduling design meetings between clients and faculty, along with preparing for and following up on these meetings. Assess the scope of materials and resources needed for programs across various modalities, such as virtual/live, online/asynchronous, in-person, and blended formats, etc. (10%)
- Financial ¿ Generate requisitions for program supplies, textbooks and other materials. Make travel arrangements for the school of management directors and faculty when required. Record, organize, file and reconcile expense receipts with budget reports. Enter costs of programs using relevant financial tools. Prepare and deliver invoices based upon program agreement terms. Monitor program budgets and financial performance ¿ providing regular reports to leadership. Internally process faculty and coach compensation and forms necessary for payment. (10%)
Client Relationship Development¿ Maintain strong relationships with corporate clients, ensuring a high level of client satisfaction. Anticipate challenges/issues and proactively provide potential solutions. Support business development efforts by identifying potential new programs and growth opportunities. (15%)

CONTACTS
Department: Daily contact with executive education directors, program managers, and other team members. Occasional contact with Weatherhead Admissions and Registrar as appropriate.
University: Frequent contact with faculty, university technology, and the school of management department administrators. Occasional contact with Bursar¿s office, bookstore and other university offices when necessary.
External: Frequent contact with client program leaders which include senior to middle level managers and program participants. Frequent contact with external vendors such as non-university faculty and coaches.
Students: Contact with school of management students and executive education participants/clients.

Education/Experience: High school education and 5 years of work experience OR bachelor¿s degree and 1 year of work experience in event/planning management, hospitality management, customer service or related field with a strong se
