General Description (Purpose and Function):

The program assistant works closely with the program manager’s, program coordinator, and director, to assist in the logistics, planning, and executing of programs that are small to intermediate in scope.

Primary Duties and Responsibilities:

· Support the program manager, program coordinator, and director on programs including new employee orientations, leadership trainings, facilitation trainings, virtual sessions, and other special events hosted by the department

· Coordinate parking, create links and communication for participants to ensure they have the information needed to attend session

· Responsible for the materials preparation, review, setup, and execution for all program sessions

· Serve as a producer for the online sessions

· Communicate with participants or HR staff in preparation for sessions to ensure accurate signup

· Serve as the on-site contact for all program sessions and is required to report back to the program team any issues or problems that may arise in the setup, registration process, or facilitation of sessions

· Use own vehicle to transport materials to different locations within Coral Gables, Medical, and Marine campus or off site when needed

· Support program coordinator in maintaining record of trainings in ULearn, zoom or other software

· Inventory all training material and support program coordinator in managing the inventory

Knowledge, Skills, and Abilities:

· Strong human relations and interpersonal skills

· Excellent service mindset and skills

· Must be proficient in Microsoft Word, Excel, Outlook, and Power Point

· Ability to work with people with diverse backgrounds

· Ability to make quick decisions with little to no supervision

· Must be detail-oriented and very organized

· Having excellent oral and written communication skills is necessary

· Must be able to handle multiple projects simultaneously, with overlapping deadlines

· Must be flexible with hours as they will be contingent upon program sessions and event dates and times, with the flexibility to work additional hours including evening and weekends, if needed (minimal).

Education & Work Experience Requirements:

· Associate’s degree

· One to three years of relevant work experience or transferable skills
