About the role

As the face of the office in Corona, California, the Corporate Receptionist will perform administrative work consisting of but not limited to greeting and registering visitors, vendors and technicians in accordance with the company-s standard operating procedures and answering/transferring incoming phone calls to appropriate point of contact. As well as provide necessary assistance to office personnel to establish and maintain efficient office procedures, practices, and routines. Assist Human Resources, Operations, and other company departments. Additional administrative responsibilities, including: physical/electronic mailings, filing paperwork, conducting research, and assisting with operational-related reporting. As well as offering support to local departments to meet customers' needs.

    Responsibilities

  • Receive all guests, vendors and technicians

  • Welcome/Register all company visitors with a level of utmost professionalism; functioning as the company-s initial point of contact for visitors.

  • Answer telephone calls from reception line, relay calls, and take messages for various departments, including the President and Directors/Executives.

  • Maintain building security protocols, follow safety procedures, monitor visitor logbooks, and issue visitor badges.

  • Maintain emergency contact and vendor directory.

  • Perform and execute individual assignments, projects, and events as designated.

  • Provide assistance with the distribution of office materials, including preparing information for mailing.

  • Operates office equipment such as telephone and computer systems, fax/copier, and mailing machine.

  • Assists with the training of select new employees, including Corporate Receptionists and Interns.

  • Receiving, distributing, and shipping all UPS/Fed-Ex/USPS and other vendor packages to correct company personnel, dealers, and vendors.

  • Support the Hiring Team by issuing and entering initial paperwork for interviews/applicants, printing reports, and scheduling pre-employment screening.

  • Prepare conference rooms, media presentations, conference calls and meetings, for visitors, tours, and department meetings.

  • Assist with maintenance of the building and overall appearance of facilities.

  • Assist with organizing, tracking, and ordering office supplies.

    Knowledge, Skills & Abilities

  • Previous customer service or administrative experience is preferred.

  • In-depth knowledge of Microsoft Office platforms with the ability to adequately operate a computer/word processing equipment and all other general office equipment. Microsoft Excel experience is a plus.

  • Must be able to fluently communicate in English with a working knowledge of grammar and spelling.

  • Filing experience and the understanding/ability to maintain practices of top-level confidentiality a must.

  • Experience making/answering phone calls.

    Qualifications

  • High School graduate with a minimum of a two (2) year Associates Degree, or two (2) years of completed college while currently enrolled.

  • 2-3 years of experience involving duties of a related nature required.

  • Strong interpersonal skills, flexibility and professionalism at all times.
