Your Specific Responsibilities:

The position serves as the Administrative Assistant I and works under the general supervision of the Executive Community Health Nursing Director and provides administrative support and technical assistance to the staff, community agencies, and the general public. This is an independent, highly complex and professional position that requires judgment, critical thinking with the ability to make decisions, professional demeanor, and flexibility with the ability to prioritize daily work duties as needed.

The incumbent will p rovides administrative support to Nursing Director and Administration and will:

Prepares and reviews incoming and outgoing correspondence such as letters, memos, reports

Screen and distribute incoming mail appropriately for action or resolution

Receives incoming calls for nursing director and responds to inquiry or promptly refer for action

Cordinate travel arrangements and process travel authorizations and reimbursements.

Maintain calendar/schedule of the nursing director

Prepare all materials for Clinical Services staff meetings or training including room reservations, agenda, educational materials (paper and electronic), minutes and guest speaker coordination.

Assist with the preparation of policies and procedures and maintains them according to policy.

Compile and analyze data and information as assigned for administrative decisions inclusive of performance improvement activities

Assist with the monitoring and documentation of programmatic services ensuring adherence to federal and state guidelines.

Assist with budgetary functions related to Clinical Services.

Assist with completion of all necessary documentation for personnel management, recruitment and retention.

Ensure that all permits, licenses and certificates required to provide clinical operations are maintained and up to date for all clinical sites.

Purchase goods and services and m aintain inventory to ensure adequate supplies are available for clinical services.

Serve as a contract manager and assist with the preparation, tracking and monitoring of contracts, MOA’s and amendments.

Required Knowledge, Skills, and Abilities:

Ability to communicate effectively with internal and external customers both verbally and in writing

Knowledge of administrative principles and practices

Skill in use of Microsoft Office applications Word, Excel, Outlook and Powerpoint

Ability to plan, organize and coordinate work assignments

Qualifications:

Minimum -

Must have ability to communicate effectively with internal and external customers both verbally and in writing

Must be skilled in use of Microsoft Office applications Word, Excel, Outlook and Powerpoint

Must have ability to plan, organize and coordinate work assignments

Must have at least 2 years clerical or administrative work experience in a healthcare office setting or hold an Associates or higher degree from an accredited college

Preferred -

Skills in interpersonal communication to work effectively with all levels of staff

2 years experience in Microsoft Office applications

Experience working with State systems including MFMP, STMS and HMS
