Job Title: Vendor Management SpecialistJob Description

The Account Payable/Vendor Management Specialist is responsible for developing and maintaining master data standards in alignment with business requirements and priorities; specifically, the maintenance of vendor master. This role will work hand in hand with all other departments to ensure the vendor data entered into the system is accurate. Additionally, this position will be responsible for processing payments in a timely manner and communicating in a professional manner with the business partners regarding any related discrepancies to the flow of account payable. Research inquiries and resolve related discrepancies. Typical Day: 500 vendors need to be cleaned up, or 100 W-9s are missing or wrong, for example. Help with training. Manager will mainly train. Non-traditional AP, Vendor Management. AP is a different department. Transition to Oracle. Clean-up - data, addresses, tax ID numbers, in one system, not in another - make sure all is moved into Oracle. Looking at numbers, bank info, SSNs. KEY RESPONSIBILITIES - ESSENTIAL FUNCTIONS: • Monitor AP Master Data email inbox and process all Vendor Master Data requests • Execute changes to JDE, AS400, and other internal systems as approved by the business • Maintain vendor W-9 forms, produce, and file 1099 forms in accordance with IRS regulations • Meeting or exceeding Service Level Agreements regarding timeliness of processing • Train and instruct departments on Vendor Management process • Ensure data quality, compliance, and consistency of master data • Setup and maintain banking information for automatic draft accounts • Complete verification process of banking information prior to vendor setup • Assist with continuous improvement of data management • Ensure accuracy and proper storage of tax documentation and banking information • Identify and support vendor data cleansing activities • Maintain strict confidentiality of sensitive information • Perform mass updates to the vendor master data list as required • Work with business units and process experts to resolve master data issues • Participate in projects and initiatives across multiple functional areas and regions • Support the business with required procedures, submit incidents and change requests when needed • Act as a support back-up for all Accounts Payable functions when needed • Assist in month-end tasks • Other duties and responsibilities as assigned This job description is not designed to cover or contain a comprehensive listing of activities, duties, or responsibilities that are required of the employee for this job. Hard Skills

  • Experience with forms W-8 and W-9

  • Vendor Management experience - 2+ years

  • Proficiency in Microsoft Office Suite

  • Recent experience with Oracle, SAP, or other large systems

  • Knowledge of W8 and W9 tax documents

  • Ability to register with the IRS as an authorized user of their E-Services TIN Matching site

Job Type

This is a contract position with a duration of 6 Month(s).

Work Site

This is a hybrid position requiring some days on-site in Des Plaines, Illinois and some days remote.

Work Environment

Reporting to AP Manager in Alpharetta. 2 other full-time employees to make up this team. Hybrid: in office 3 days - any days. Could need to adjust office days based on meetings.
