Work hours are Monday through Friday, 8 am to 4:30 pm The Senior Office Assistant will be responsible for administrative support regarding business management, training classroom coordination, event and travel arrangements, welcoming guests to our classroom, answering questions regarding parking, location, space rental, etc., ordering office supplies, financial management assistance, and TTCP content creation as needed. Business Management Assistance - 35% Assist with University Purchasing Card reconciliation for staff Organize lodging arrangements for trainers, staff, and occasionally speakers Assist with event planning; booking event space, rooms blocks, ordering food, etc. Help staff and trainers with travel reimbursements through the U of M system, Chrome River Assist with processing invoices from suppliers/contractors Directing contracts to the correct parties for execution Office Management Assistance - 30% Coordinate and monitor a calendar for use of the TTCP training space with the TTCP, CWTA, and other local businesses Preparing Space Use Agreements when necessary Communication and collaboration with internal and external partners Ordering office supplies for the DTV Suite, as well as various supplies needed for training, wellness retreats, etc. Ensuring TTCP spaces are prepped for upcoming trainings or meetings and that spaces are regularly cleaned by Tech Village staff Staff/Participant Support - 30% Occasionally meeting staff in locations to deliver supplies or content Assisting Community Trainers with needs related to travel, food, etc. Meeting needs of TTCP guests and providing excellent customer service Assisting with internal and external event needs (conferences, training, campus events, etc.) Field calls and emails in real time from partners, public, and participants to streamline workflow and professional response Answer questions related to location, parking, directions to TTCP Suite, etc. TTCP Content Creation and General Support - 10% Assists with media creation for events including hard copies and digital content (Powerpoints, Canva, Social Media) for presentations, meetings, and events. Participates in TTCP staff meetings to promote new ideas, propose areas of improvement, and further participant experience Understands the objectives of the TTCP and assists in meeting those objectives through tasks Other duties as assigned Qualifications Required High School Diploma/GED and two years of related office and administrative experience. Training/education may be substituted for some of the years of experience. Computer experience is required. General office skills, at the intermediate level. Preferred Knowledge or experience working with Tribal communities Experience coordinating travel and events Experience managing facilities and/or lease space Strong interpersonal and collaboration skills, particularly in settings with Indigenous constituents Excellent organizational skills Familiarity with UMN systems, operations, and financial policies About the Department The Tribal Training and Certification Partnership (TTCP) is operated through the Department of Social Work, the College of Education and Human Services Professions, University of Minnesota Duluth. The TTCP aims to improve outcomes for American Indian families through building capacity within public and Tribal child welfare workforces.
