Position Summary

The Medical Education Clerkship Administrator works closely with our Director of Medical Education to provide support for and oversight of the Psychiatry Clerkship program.  Major duties include administering the program, assisting with curriculum development, creating evaluations and reviewing, analyzing, and disseminating program data collected to ensure continuous improvement and accreditation, managing the website, and communicating with physicians in the program, faculty, other administrators within the country.  The Clerkship Administrator provides leadership to community clerkship administrators throughout the state and provides oversight of/supervises the assistant clerkship administrator.

Task breakdown:

Program Management (35%)

Program administrator for the Psychiatry Medical Education Program for the College of Human Medicine and the College of Osteopathic at MSU from MS1-MS4, including Psychiatry & Behavioral Science Clerkship (PSC 608), Psychiatry LCE Clerkship (PSC 641) and the Psychiatry electives (4 in total).  Develops and coordinates agendas, site visits, trainings, and bimonthly director and administrators' meetings.  Assists in facilitating the statewide/Lansing campus psychiatry clerkship budget.  Facilitates all non-base hospital sites and requirements for the MSU COM students in Southeast and West Michigan during the third year.  Program management tasks include:

  • Maintain non-base hospital sites including; ensure agreements are current, verify number of accepted students annually, invoice college on behalf of the non-base hospital for teaching services, notify students of any additional assignments required by the site they are assigned, if applicable
  • Create/maintain master clerkship rotation schedule (all students)
  • Create grade tracking spreadsheets for each location (CHM by campus and rotation), (COM-geographical area and rotation); updated annually with new graduation requirements, dates, as well as on an adhoc basis when alerted by college(s) of schedule changes
  • Schedule and facilitate monthly Medical Education team meetings; provide guidance for recurring topics to report on during the meeting to the Community Clerkship Assistant (student or placement issues, upcoming/scheduled PTO for the team and coverage for anything coming due, schedule or meeting changes, curriculum, process or policy changes, residency updates, etc.) 
  • Schedule and draft agendas for approval by director for the bimonthly MSEC meeting; prepare and disseminate minutes
  • Coordinate, draft agenda, prepare materials/data for and participate in campus and non-base hospital site visits
  • Train newly hired curriculum administrators in all CHM or COM/CHM blended Communities
  • Assist departmental business office with budget and staff planning for the Medical Education area
  • Send notification of scheduled students to non-based hospital sites in advance of the new academic year; send updates as needed
  • Serve as the Chief Proctor for CHM National Board of Medical Exams (NBME) exams

Curriculum Development / Content Management (20%)

Develops and coordinates syllabi, curriculum content delivery, and curriculum content platforms for the psychiatry courses.  Department Clerkship Administrator (CHM) and Course Assistant Representative (COM).  Participates in required committees; including the Clerkship Administrators Committee for the national organization Association of Directors in Medical Student Education in Psychiatry.  Administrator for all Psychiatry courses in D2L.  Utilizes Google Drive as a repository and to share information with distant campuses.  Lead contact on making all materials for the 3^rd^ and 4
