Description

We are seeking a reliable and skilled Administrative Assistant to join our client’s team in Edina, Minnesota! If you’re an Administrative Assistant with experience in a construction or manufacturing environment, have experience with accounts receivable, and enjoy variety within your role – look no further! In addition to handling administrative duties, this role will involve overseeing accounts receivable, processing invoices and credits, commission statement filing, managing the status of purchase orders, and assisting with accounts payable. This role will also serve as a Warranty administrator. The ideal candidate will be comfortable being 100% on-site and will demonstrate strong organizational skills, attention to detail, and the ability to work effectively in a team environment.

Responsibilities:

  • Manage accounts receivable duties including invoicing and credits.

  • Assist with accounts payable tasks, with potential for increased responsibility in the future.

  • File and rectify commission statements.

  • Regularly check the status of purchase orders and maintain knowledge of inventory status.

  • Verify discrepancies and resolve customer invoice issues.

  • Serve as the Warranty Administrator.

  • Coordinate the ordering of literature and office supplies.

  • Assist with email and mail marketing campaigns.

  • Update price lists and maintain accuracy of in-house information such as inventory sheets, sales, contacts, vendor info sheets, and labels.

  • Monitor email correspondence and respond appropriately.

    Requirements

Qualifications:

  • 1-3 years of administrative assistant experience, preferably in a manufacturing or construction environment.

  • Proficiency in MS Office Suite, Sage software experience preferred.

  • Strong organizational skills and attention to detail.

  • Excellent communication and interpersonal skills.

  • Ability to work effectively in a team environment.

  • Self-motivated and capable of working independently.

  • Flexible and adaptable to changing priorities.

  • Willingness to learn and adapt to new technologies and processes.

  • Demonstrate excellent phone skills, including customer service and handling inquiries.
