Primary Purpose:

We’re looking for an Executive Assistant to the CEO of Electra based in East Falls Church! This is an ideal role for an experienced administrator who works well under pressure, is a self-starter, and wants to work in a collaborative environment. No day will look the same at Electra as the work is frequently determined by the dynamic activities that affect the office. As a strategic thinker, you will connect task management to organizational priorities with a high degree of confidentiality and a sense of urgency.

Responsibilities & Essential Functions:

· Provide comprehensive administrative support to the CEO and support projects that relate to the CEO, the Board of Directors, and key event activities.

· Manage the CEO's calendar, travel, meeting, and schedule arrangements including setting up appointments, scheduling meetings, resolving conflicting priorities and ensuring that the CEO is on time, organized and prepared for each meeting/appointment. This includes responsibility for the management of Outlook calendar entries. Includes initiating contact and securing appointments, equipment, and facilities as appropriate.

· Coordinate the preparation, assembly and distribution of all materials and packages for Board of Director meetings. Assist in all board and leadership correspondence and meeting notifications. Ensure proper meeting setup for Board of Director meetings or other meetings as directed. Coordinates room reservation, setup including refreshments, e.g. soda and snacks, etc., catering and A/V equipment.

· Collaborate closely with other team members to ensure the CEO’s preparation for meetings, presentations, or other engagements. This includes coordinating the preparation of presentations (including PowerPoint, speeches, etc.).

· Reconcile monthly credit card and business-related expenses for CEO. Reviews direct reports expense reports for preparation and approval.

· Maintain organized and complete file system (paper and electronic) to document projects, correspondence and activities of the CEO and Board of Directors.

· Assist with tools and processes to keep the teams coordinated and connected and act as a general liaison between team members and leadership.

· Take on a wide range of special projects, many of which involve design, art, photography, writing, publishing, or construction.

· Maintain a high degree of confidentiality.

· Other duties as assigned.

Qualifications & Required Skills

· Be both organized and creative, a trusted advisor to the CEO.

· Be confident, self-directed, and use sound judgment in all matters.

· Have an aptitude for influencing others and getting groups on board with an idea or direction.

· Strong ability to communicate clearly initiatives that are driven by the CEO.

· Be a proficient user of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Adobe Acrobat and highly tech savvy.

Minimum Education and Experience:

· Bachelor’s degree from an accredited institution in Business Administration or related discipline is preferred.

· Minimum of 6+ years related professional experience working with and supporting C-Level Executives

· Maintain onsite, daily office hours in Falls Church, VA.

· US Person (Citizen or Green Card) Preferred

Working Conditions:

· Work is typically performed in a warehouse/aviation and office environment which requires proper safety precautions. Work may require some physical effort in the handling of light materials, boxes, power tools, prototypes, different materials or equipment. Due to the nature of the projects some fieldwork may be required, working in both indoor and outdoor conditions. May need to lift up to 50 lbs.

Location: Falls Church, VA.

Travel: <25%, Domestic & International Travel

Salary: Electra’s salary range for this position is: $81,250.00 - $181,250.00

Our salary ranges reflect the minimum and maximum range for the Company level overall across all locations & projects and does not necessarily reflect the budgeted amount for this position.  Individual pay is based on additional factors, including project budgets, job-related skills, experience, relevant education and/or training, role, level, location, and project.
