Florham Park - NJ (Hybrid)

Part-time – 30 hours per week

We are looking for an Administrative Associate to join our CI team in Florham Park, NJ.

The Intermediates division manufactures about 600 products, which are sold worldwide. These include butanediol and its derivatives, amines, organic acids, polyalcohols, life science intermediates, solvents and OASE® gas treatment solutions.

As an Administrative Associateyou will be accountable for ensuring seamless day-to-day activities by providing both executive level support to the SVP and other Sr. Leaders within the Chemical Intermediate’s Team. You will be primarily responsible for managing the Senior Vice President’s calendar, creating, and coordinating agendas for site visits, senior leadership meetings, and international and customer guests, as well as leading the planning for local, regional and global meetings and events. This role also involves providing regular support to the controlling team with administrative tasks as well as supporting other Sr. Leaders as needed.

As a Administrative Associate, you create chemistry by...

  • Planning and coordinating global, regional, and local meetings, while managing the SVP, Chemical Intermediates calendar and travel arrangements, such as processing SVP expense reports. Coordinating independently to manage the creation of the agendas of senior leadership meetings, guest visits, and SVP site visits, such as supporting to other senior leaders with administrative tasks as needed.

  • Pulling, packaging, and sharing monthly controlling reports and dashboards from Power BI for executive presentations and decision making. Maintaining tables required for the effective use of our dashboards (customer to sales rep, customer to industry, product to product manager, etc)

  • Maintaining the global SPOT system that manages the customer / product relationships in the global sales tables.

  • Supporting account reconciliation and pricing discrepancies for Chemical Intermediates North America within SAP. Performing SAP transactions and record maintenance maintaining customer account information and chemical material profiles.

  • Managing, maintaining, and updating required courses in the Learning Management system.

  • Updating and uploading organizational charts such as organizing and distributing personnel announcements.

  • Handling miscellaneous administrative tasks for the included but not limited to mailings, ordering new hire gifts and office supplies, etc.

If you...

  • Hold Degree in Business (preferred).

  • Count with exceptional knowledge of Microsoft Applications.

  • Have 3-5 years relevant working experience.

  • Are familiar with SAP (preferred).

  • Feel comfortable collaborating across multiple teams. Taking initiative and ownership in ambiguous and new situations
