Position Title: Senior Payroll Specialist

Position Reports To: Director, Payroll

Position Summary

The Senior Payroll Specialist is responsible for coordinating union payroll reporting activities including compliance, reporting, auditing and reconciling union fringe benefits for union employees.

Essential Functions

  • Responsible for reconciling and processing monthly fringe benefits for field union craft employees to respective fund offices.

  • Research and resolve union discrepancies/ audits for liquidated damages, reporting hours, employer contribution rates, national versus local fund submissions.

  • Submit monthly fringe reports and payments to individual unions by required due dates.

  • Responsible for creating union rate and fringe benefit packages, and coordinates with union to set up union deduction codes and tables in Workday Work with labor relations on audit and discrepancy findings and communication of resolutions

  • Ensure and validate accurate reporting to local and national fund offices. Coordinate with Accounts Payable to create new vendors.

  • Coordinate with field accounting managers on rate sheet discrepancies, and reprocessing of payrolls as required.

  • Manage union funds and associated reporting.

  • Interfaces with Corporate Accounting to ensure control and integrity of transactional field accounting and administrative processes.

  • Ensures fringe files and records are maintained according to Apache retention control and audit procedures.

  • Conducts various union payroll reconciliations and troubleshoots any issues that arise.

  • Provides direction and assistance to department staff regarding union payroll processes.

  • Ensures accurate accounting and reporting on all union payroll related feeds to finance.

  • Monitors and updates union payroll department/process procedures and contributes to development payroll related policies and procedures.

  • Assist with research, process improvements and projects on an as needed basis.

  • Participates in changes to the Workday HRIS system by assisting the Director of Payroll with testing and rule/validation table changes.

  • Generates variety of payroll reports to include pay period, monthly and special reports requested by business leaders, local unions, and corporate finance.

  • Stays current, complies with, and provides interpretations on various rules, regulations, laws, contracts, and policies.

  • May work with government agencies, benefit providers, auditors and/or other staff to resolve problems and provide requested information.

  • Coordinates, develops, and maintains written documentation regarding union payroll reporting procedures and processes necessary for reference and training materials.

  • Other duties as assigned.

Education & Experience

  • 5+ years of related experience working for a high volume, multi-state employer, with in a union atmosphere.

  • Experience in analyzing, reporting and balancing union fringe benefits and payments related to union payroll processing

  • High School Diploma or GED required

  • Proficient in Microsoft Office including advanced Excel skills (pivot tables, formulas, VLOOKUPS required)

Knowledge, Skills, and Abilities

  • Knowledge and the ability to understand the flow of transactions within the payroll and accounts payable process as it relates to union submissions.

  • Analytical and detail-oriented with an ability to problem solve.

  • Proven ability to multi-task in a high volume, deadline driven environment, complete task in a timely manner, and follow-up on resolution of outstanding issues.

  • Clear and concise communication skills to interact and develop relationship with business unit management teams and union representative

  • Strong knowledge of tax and wage laws within Union Payroll

  • Strong verbal and written communication skills

  • Excellent organizational skills and attention to detail.

  • Strong leadership skills.

  • Ability to maintain confidentiality.

Work Conditions/Physical Demands

  • Remaining in a stationary position, often standing, or sitting for prolonged periods.

  • Light work that includes moving objects up to 20 pounds.

  • No adverse environmental conditions expected.
