Description of Work Unit

The School of Music, Theatre and Dance ( SMTD ) has 36 tenured and tenure-track faculty as well as 40 adjunct faculty. There are currently over 550 students in SMTD , with 311 undergraduate and graduate students enrolled in music degree programs.

The University Center for the Arts is a nationally recognized state-of the art 350,000 square foot facility, that includes a 550-seat concert hall, a 275-seat organ and chamber music recital hall, a 320-seat thrust theatre, a 100-seat black box theatre, a 200-seat dance theatre, dedicated rehearsal, production, and research spaces, along with classrooms, labs, and practice rooms.

Position Summary

The School of Music, Theatre and Dance at Colorado State University seeks an Athletic Band Administration and Ensemble Recruitment Coordinator. The successful candidate will use their specialized expertise to spearhead activities which promote and encourage participation in all SMTD music ensembles. In addition, they will support the success of our Athletic Bands, which currently includes the CSU Marching Band, the Basketball Pep Band, and the Presidential Pep Band.

Must be highly organized, and be able to work well with and provide excellent service to a variety of stake-holders, including: students, parents, faculty, alumni, and the general public. The work schedule must accommodate attendance of events on evenings and weekends, as well as periodic travel for off-campus functions, football games, and recruiting opportunities at national conferences.

Required Job Qualifications

  • Bachelor’s degree.

  • Minimum 2 years experience participating in College Athletic Bands.

  • Demonstrated familiarity with a broad range of musical instruments.

Preferred Job Qualifications

  • Bachelor’s degree in Music preferred.

  • Evidence of outstanding written communications skills.

  • Experience coordinating large group activities and/or events.

  • Ability to function well in an atmosphere that promotes teamwork.

  • Ability to articulate, market, and advocate for the value of a performing arts degree.

Job Duty CategoryAthletic Bands Support

Duty/Responsibility

  • Represents SMTD to prospective students and their families in the region and at CSU . Communicate with current athletic band students, prospective students, and parents via e-mail, telephone, the website, and campus visits, using appropriate musical terminology. Maintain database with current students and their required information to complete all logistics, including meal allergies, travel information, campus and home contact information, marching instrument, marching uniforms, concert instrument, etc.

  • Assist in planning and coordinating numerous large-scale events. Arrange and order all meals, transportation, housing and other logistics for marching band home and away games, bowl games, and other on and off campus functions. Attendance needed at the first several home football games. Attendance at away games may also be needed, as requested by the Director. Arrange all logistics for athletic band events, including meals that meet the health requirements of all students and staff, coaches (buses), flights, housing, itineraries, banquets, awards, etc. Often, prices will need to be negotiated while maintaining quality in order to meet university budgets. Assist with special Athletic Band events including, but not limited to, the annual parade of lights performance and parade preview at the UCA .

  • Schedules and organizes all athletic band auditions. Administrative support for the CSU Marching Band Camp, including registration and orientation of students. This will often occur on the weekend. Coordinate with campus housing and dining regarding early move in for athletic band students; then coordinate with students (and parents of new CSU students). Schedule and coordinate summer meetings with Athletics, Hazing Prevention, CSU Alumni personnel, President’s event staff, student government/student services ignorer to coordinate special events throughout the year. This will be in conjunction with the band directors.

  • Assists the band area Athletic Bands with music preparation and distribution. Employee must exhibit the ability to read music and transpose parts as needed. Needs to identify appropriate parts and distribute to the correct sections at rehearsals. Coordinate the acquisition, copying, flip folder construction, and distribution of all athletic band music throughout the year and oversee work study student in this process.

  • Assists with purchasing and budgets. Arranges and orders all purchases for the athletic bands, which may include: uniform parts, staff apparel, music, equipment and supplies. Maintain athletic band uniform inventory including sizes for uniforms fitting, condition of uniform pieces, assignment of pieces. This will be done in conjunction with band staff. Works directly with director of athletic bands and graduate assistants, set up and maintain a repair/maintenance schedule for all MB instruments, make all payments for repairs, and keep an updated inventory in conjunction with Property Management for insurance purposes. Supervises graduate student(s) responsible for inventory management during the fall marching season. Assists in filing police reports for missing/stolen instruments and files insurance claims as needed.

  • Coordinate with other band area staff at weekly meetings. Reserve UCA rooms as needed for the athletic bands. Maintain the daily operating budgets within the athletic band areas, including purchases, upcoming expenses, current balances, and communicate with SMTD Finance Partner regularly regarding accounts. Coordinate staff hiring and payment schedules. Track and pay invoices and assist with band budget; meet weekly with the Director of Bands to update the athletics bands budget.

Job Duty CategoryAthletic Band Instrument Specialist

Duty/Responsibility

  • Must maintain an inventory of MB instruments. Maintains an online system for students to make requests to check out specific instruments needed. Assigns instruments to students with a liability contract.

  • Working directly with graduate assistants, sets up and maintains a repair/maintenance schedule for all SMTD instruments, make all payments for repairs, and keep an updated inventory in conjunction with Property Management for insurance purpose. Facilitator between faculty/students and repair technicians. Delivers and picks up instruments from repair facilities. Must be able to recognize visually when an instrument is in need of minor repairs. Instruments are inspected for issues visually as they are handed out and again as they are returned.

  • Maintains billing records to stay within a specific instrument repair budget for the athletic bands. Facilitates loan program and contracts with outside agencies, e.g, Yamaha, Conn-Selmer. Assists in filing police reports for missing/stolen instruments and files insurance claims as needed.

Duty/Responsibility

  • With guidance from the Ensemble Directors, coordinate athletic band and SMTD ensemble promotions via the SMTD communications team, including creation of recruitment materials, web content, marketing, and social media efforts. Work with the Director of Communications in SMTD to create, implement, and maintain School and department-specific messaging to prospective students and families. Contributes to decisions about how best to promote athletic bands and SMTD ensembles to students.

  • Promotes a positive image of the department by exhibiting a high level of professionalism, energy, and a friendly demeanor while meeting with prospective students/families. Serves as a point of contact and meets regularly with prospective students and families on campus and via teleconference. May assist in coordinating of individualized visits including department tours or one-on-one meetings with faculty.

  • Maintain a thorough knowledge of the Ensembles within the school; ability to communicate facts without conjecture. Communicate the value of a performing arts education to a variety of constituents (e.g. students and their families, faculty, professional staff, and other stakeholders).

  • Coordinates with the Recruitment and Enrollment Coordinator for SMTD’s involvement in CSU’s undergraduate recruiting events, including Office of Admissions-sponsored visit days and recruitment fairs, including Orientation, Choose CSU Days, and Ram Welcome, to help increase athletic band and SMTD ensemble enrollment. Plan Ensemble-specific programming for in-person and virtual visit days and other recruitment opportunities on and off campus. Assist in hosting Audition/Scholarship/Visit Days for SMTD . Following audition and visit days, direct and coordinate continued communication throughout the spring and summer in order to decrease melt rates.

  • Work with band staff and marching band alumni team to coordinate homecoming weekend events for the alumni band. Maintain the alumni band database in conjunction with appropriate SMTD staff, including updated contact information, marching instrument, ensembles participated in during their time at CSU , degree awarded, attendance and graduation dates, current information as permitted.

  • Plan, produce, and deliver presentations to prospective students and their families on-campus, regionally, and at designated national conferences, as assigned. Arrange recruitment opportunities for the athletic band, SMTD ensembles or other music-specific recruiting conferences as appropriate. Attend recruitment events aimed at strategic and selective audiences.

  • Coordinate with the SMTD Director and the Recruitment and Enrollment Coordinator to process Athletic Band scholarship award amounts. Assist in creating spreadsheets with budgeted award amounts, verify eligibility of recipients, and assemble master spreadsheet for processing. Track awards to ensure scholarships are accepted and paid.

  • Work with the director of the School of Music, Theatre, and Dance, the Band Director, the Athletic Band Director, and the Director of Communications to create and annually revise the athletic band strategic recruitment goals, including forecasts based on enrollment/retention fluctuations. Develop and manage information systems to track recruitment efforts. Maintain database with potential athletic band students that includes contact information, high school, high school directors, current year in high school, instrument, events attended at CSU , etc.
