TIAA Director, Occupancy Planning & Space Strategy in Frisco, Texas

The Director of Occupancy Planning & Space Strategy is responsible for space supply and demand analysis and the creation of space and occupancy strategies across more than 200 TIAA locations globally. The plans developed by the Director of Occupancy Planning & Space Strategy will inform and support TIAA’s overall location strategy and ensure that TIAA’s physical environments align with TIAA’s associate experience, internal partners’ expectations, and enterprise goals.

Key Responsibilities and Duties

  • Creates supply/demand analyses and provides stack planning and alignment strategies reflective of the needs of staff functions and lines of business for new sites, renovations, and consolidations. These solutions should promote general space efficiency and GCS space standards.

  • Coordinates with Construction and Facilities to develop detailed move sequencing plans and trains client workspace leaders in supporting those efforts.

  • Tracks and analyzes headcount and square footage data to ensure we are optimizing our space utilization and to develop recommendations for immediate and for long-range space strategies, particularly in corporate center locations. Maintains records of headcounts to track against plan and predict future requirements.

  • Advises on Integrated Workplace Management System (IWMS-iOffice) regarding the navigation and set up of the IWMS program, creation of space types, and data maintenance to ensure the system generates accurate space data reports. Will work to automate and simplify space management, and audit IWMS space data for accuracy utilizing current company standards.

  • Develops test fit and space plans in AutoCAD and Revit for renovations, relocations, and new leases while applying TIAA’s space strategy standards and adhering to code requirements.

  • Oversees the Workspace Leader program (a network of leaders representing the lines of business regarding space needs) and off-shore and outsourced resources supporting the function.

  • People leader of 1+ associate in India responsible for space planning and occupancy planning deliverables.

  • Monitors and controls external vendors assigned to Global Real Estate projects.

  • Refine and manage the Workspace Leader (WSL) program which is a network of approximately 20 WSLs and 50 business space coordinators and support staff representing all lines of business regarding space needs. Responsibilities include organizing and leading quarterly Workspace Leader calls to update leaders on space and occupancy activity. Requires collaborating with other departments to ensure all critical processes and updates are communicated.

  • Responsible for delivering on-time supply and demand analysis and asset occupancy strategies to avoid unnecessary business disruption and/or additional cost to projects due to delays.

  • Works with LOB customer relationship leads, move teams, and construction teams to determines supply and demand inputs to ensure successful and on-time project completions.

  • Manages contracts associated with outside providers in support of businesses needs tied to the enterprise location strategy.

  • Supports key enterprise real estate initiatives ensuring the physical environments drive associate productivity and high job satisfaction, maximizing associate experience and job productivity.

  • Analyzes and audits space data and floor plans for TIAA’s over 4 million square foot portfolio for accuracy and utilizes the information to develop strategies regarding current and future space usage across the portfolio.

  • Works closely with GCS partners and line of business representatives to help guide effective long-term occupancy decisions.

  • Conveys to the lines of business why recommended solutions support enterprise goals or a common vision.

Qualifications:

Required:

  • 5 years experience in financial services with large-scale workplace and real estate efforts

Preferred:

  • 7-10 years experience in financial services with large-scale workplace and real estate efforts

  • Degree from university that has an accredited program in interior design, architecture, or similar field of study

  • Has in-depth knowledge of IWMS and drafting systems (iOffice, AutoCad and Revit) regarding the navigation and set up of the IWMS program, creation of space types, and data maintenance to ensure the system generates accurate space data reports.

  • Ability to understand business requirements and form real estate and facilities strategies that support enterprise goals.

  • Understanding of workspace strategies that drive down costs and increase productivity.

  • Directly managing and/or interacting with employees or matrixed staff at multiple levels

  • Active awareness and understanding of global workplace trends, innovations, and opportunities.

  • Understanding of enterprise processes and standards including Architecture, Planning, Design, Construction, Real Estate, Facilities Management and Commercial Furniture

  • Strong leadership and interpersonal skills with the ability to navigate difficult discussions when managing direct reports, TIAA associates and leaders, and outside vendors.

  • Excellent verbal and written communication skills and strong presentation skills.

  • Distills complex information to the essential facts for client decision-making. Capable of participating in discussions with internal clients on design and space use concepts. Understands the importance of developing and maintaining strong relationships and managing across constituents to create win-win solutions.

Base Pay Range: $87,400/yr. - $121,500/yr.

Actual base salary may vary based upon, but not limited to, relevant experience, time in role, base salary of internal peers, prior performance, business sector, and geographic location. In addition to base salary, the competitive compensation package may include, depending on the role, participation in an incentive program linked to performance (for example, annual discretionary incentive programs, non-annual sales incentive plans, or other non-annual incentive plans).
