Description
We are seeking an Administrative Assistant to be part of a team in Golden Valley, Minnesota. This role involves managing customer travel, assisting with meeting and event planning, handling sensitive financial information, and managing budgets for meetings. The role will be 30 hours/week
Responsibilities:
• Assisting with the planning of meetings and events, including venue selection, room setup, and audio-visual arrangements.
• Acting as the point of contact for meeting participants, vendors, and stakeholders.
• Preparing meeting minutes and follow-up reports on meetings.
• Handling sensitive financial information with discretion.
• Managing budgets for meetings, tracking expenses, and ensuring cost-effective solutions.
• Overseeing the setup and cleanup of meeting venues.
• Coordinating customer travel arrangements.
• Using Microsoft Excel, Word, PowerPoint, and Outlook to facilitate communication and data management.
• Scheduling appointments and travel using various platforms.
• Providing excellent customer service through email correspondence and inbound and outbound calls.
Requirements
• Experience in arranging and scheduling travel, including handling travel arrangements, travel coordination, and travel management for staff members.
• Proven experience in customer service, demonstrating strong interpersonal skills and the ability to handle a variety of customer interactions.
• Proficiency in data entry, ensuring accurate and timely input of information into the necessary systems.
• Excellent skills in email correspondence, capable of detail oriented and effective communication with internal and external partners.
• Experience in handling both inbound and outbound calls, maintaining a high level of detail oriented and efficiency.
• Proficiency in Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Word, to manage, organize, and present data effectively.
• Ability to schedule appointments efficiently, ensuring minimal schedule conflicts and maximized productivity.
• Strong organizational skills, with the ability to manage and prioritize tasks efficiently.
• Knowledge of healthcare industry norms and practices, with a commitment to uphold and promote these in all actions.
• Ability to maintain confidentiality and discretion at all times, especially when dealing with sensitive patient information.
