Mesa County Administrative Assistant/ Spanish Translator - NFP - PH in Grand Junction, Colorado

JOB SUMMARY Performs a variety of clerical and administrative duties that support the mission of Mesa County Public Health s Nurse-Family Partnership home visitation program. Clerical duties include client registration, referral system management and screening, insurance verification, billing, data entry, telephone answering, and program receptionist functions. Administrative duties include general office operations, management of Google Drive, managing the referral process including initial screen for eligibility, verification of demographics, and identify high risk referrals, monitor quality of data entry and following through with nurses as needed. This position is also responsible for helping clients, patients, staff members, and other community partners communicate with one another efficiently and effectively, despite language barriers. Administrative Assistant

Generate reports according to NSO schedule, manage data entry systems, and provide technical support and training to new staff on the computer and digital platforms.

Create, retrieve, produce, analyze, and assist with electronic data in the manner required according to an assigned schedule, or as requested.

Develop templates for documents that are used regularly, ensuring ease of use and professional appearance.

Assist in the coordination of program meetings and conferences. Prepare agendas, packets, and reminders, track registrations, take minutes, and distribute to staff.

Coordinate and arrange for the usage of conference rooms, AV equipment, tables, chairs, and other materials, and the provision of food.

Answer incoming telephone calls. Provide consistent, accurate information or refer to appropriate staff, take messages, accept referrals, and forward them to the correct program staff.

Organize and maintain updates of computer files.

Process and manage internal and external referrals, follow standard work timeliness and follow-up, screens for eligibility, and assigns referrals in FLO

Inventory, order, and organize routine office and program materials, including client incentives and written materials.

Troubleshoot office equipment including the copier/printer/fax machines and arrange for repairs as needed or scheduled. Provide assistance to staff with various electronic office equipment.

Assist with the coordination of daily office operations, investigate solutions for improved processes, and offer solutions to common problems.

Assist in tracking supplies, equipment, time sheets, leave requests, student/volunteer scheduling, invoices/bills, and in creating new ways to promote efficiencies in office management.

Create and update mailing lists, contact information, and other community resource listings.

Maintain the efficient operations of the office environment.

Assure accurate, timely, and complete data collection to facilitate timely reporting requirements and progress reports as defined by the program.

Print NFP reports, review for errors, contact nurses if data is incorrect or missing, and make appropriate corrections in order to facilitate report analysis for Manager(s).

Participate in general community outreach activities (i.e. assembling marketing packets, and delivering brochures to referral agencies).

Assist Manager(s) in Advisory Board/Supporting Council preparation (i.e. send out agenda, reserve meeting room), record meeting minutes, and distribute minutes to meeting attendees.

Provide general clerical support for NFP staff, including word processing, photocopying, prep ring and sending out mailings, etc.

Acts as a point of contact for receiving information and calls from internal and external customers, and service providers to maintain office equipment/supplies, maintenance, and environmental services.

Maintain records of nurse licensure, certifications, and equipment lists, including requesting updates as needed.

Support Medicaid billing and coding processes for Mesa NFP as needed.

Other duties as assigned, including medical translation, if applicable.

Spanish Language Translator: In-person interpretation (simultaneous and consecutive) in a variety of contexts and settings.
