Job Description

Summary of Job Purpose:

As a Traffic Coordinator Specialist, you will play a pivotal role in managing the flow of materials, goods, and information within an organization. Your primary responsibility will be to ensure that products or services move efficiently from suppliers to customers. This role is crucial in ensuring that our organization adheres to all relevant laws, regulations, and internal policies. You will coordinate with various departments, including logistics, production, marketing, and sales, to streamline processes and optimize delivery schedules. Attention to detail, strong organizational skills, and the ability to thrive in a fast-paced environment are essential for success in this role.

Essential Duties and Responsibilities:

• Logistics Coordination:

o Coordinate inbound and outbound shipments, ensuring timely delivery of materials and products to meet customer demands and production schedules.

o Monitor inventory levels and collaborate with procurement teams to replenish stock as needed.

o Maintain accurate records of shipments, tracking numbers, and delivery schedules.

• Traffic Management:

o Plan and schedule transportation routes to minimize costs and maximize efficiency.

o Liaise with freight carriers, couriers, and third-party logistics providers to arrange pickups and deliveries.

o Resolve any transportation-related issues or delays to ensure smooth operations.

o Utilize software systems to track shipments, manage inventory levels, and analyze transportation data for continuous improvement

• Communication and Collaboration:

o Serve as the primary point of contact for internal departments and external partners regarding shipping and logistics inquiries.

o Collaborate with production, sales, and marketing teams to align shipping schedules with customer demand and promotional activities.

o Communicate effectively with vendors, suppliers, and carriers to negotiate contracts and service agreements.

• Process Improvement:

o Identify areas for process optimization and efficiency gains within the supply chain.

o Implement best practices and standard operating procedures to streamline workflows and reduce costs.

o Continuously evaluate performance metrics and KPIs to drive improvements in transportation and logistics operations.

• Compliance and Documentation:

o Ensure compliance with regulatory requirements and industry standards for shipping and transportation.

o Prepare and maintain shipping documentation, including bills of lading, customs forms, and export/import documentation.

o Stay updated on relevant regulations and participate in training programs to ensure compliance with safety and security protocols.

o Ensure adherence to safety regulations and company policies regarding the handling and transportation of goods.

•Problem Resolution:

o Proactively identify potential transportation issues and implement corrective actions to prevent delays or disruptions.

Complementary Description

o Address any shipment discrepancies, damages, or other issues promptly and efficiently, working with all stakeholders to find solutions.

Job Requirements

Required Competencies:

Education / Experience:

• Bachelor's degree in logistics, supply chain management, business administration, or a related field.

• Proven experience in traffic coordination, logistics, or supply chain management.

• Strong analytical skills with the ability to interpret data and make informed decisions.

• Excellent communication and interpersonal skills, with the ability to collaborate effectively across departments and with external partners.

• Knowledge of regulatory requirements and compliance standards for shipping and transportation is preferred.

• Proficiency in logistics software, transportation management systems (TMS), SAP and Microsoft Office Suite.

• Attention to detail and accuracy in managing shipping documentation and records.

• Ability to thrive in a fast-paced environment and adapt to changing priorities and deadlines.

• Problem-solving skills with a proactive and solution-oriented mindset.

• Ability to work collaboratively with cross-functional teams and influence others to achieve compliance goals

Physical Requirements:

• While performing the duties of this Job, the employee is regularly required to stand; walk; use

hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is frequently required to sit; climb or balance and stoop, kneel, crouch, or crawl.
