About the role

  • Our Green River leadership team, composed of 12 employees, is integrated in various departments across the organization including the Mine and Surface Operations, Safety, HR, Environmental, Logistics, etc. and focuses on safety, production, cost, quality and morale.

  • As the Executive Assistant, you will work in a professional manner, with internal and external customer while performing administrative tasks to support the Resident Manager and Human Resources, plus lead the employee and community relation activities for the site. You will get the opportunity to contribute to the safety and efficiency of our operations while working to improve the employee experience.

  • You will be accountable for:

Resident Manager, Employee & Community Relations

  • Providing support to Resident Manager with scheduling, and coordination of internal and external communications

  • Liaising between site and corporate functions such as Communications Department and Global Business Unit staff

  • Providing clerical support to the Senior Staff

  • Assisting Resident Manager with monthly reporting

  • Acting as a liaison between the organization and community groups regarding charitable contributions and activities

  • Planning and execution of special events such as organization-wide meetings, employee recognition events and holiday parties

  • Processing invoices and check requests for Senior Staff

  • Assisting with scheduling and organizing meetings, appointments and travel accommodations for senior staff

  • Maintaining integrity and confidentiality while privy to sensitive employee , business and commercial information

  • Assisting with special projects as assigned

  • Replenishing office supplies

  • Receiving and distributing office mail and site communications

Human Resource

  • Answering frequently asked questions from applicants and employees relative to standard policies, benefits, hiring process, etc. and refers more complex questions to appropriate senior level staff, or benefit center

  • Assisting with absence management including Metlife reporting, weekly contact with suspended employees, and submittal of personnel change notifications

  • Assisting with recruiting and new hire orientation

  • Perfect Attendance reporting

  • Assisting with weekly payroll in timekeepers absence

  • Assisting Site HR with monthly reporting including employee census, temp, OT and absence reports

  • Maintaining accurate and up-to-date files, records and documentation

  • Preparing internal postings to include drafting communications and maintaining employee bulletin board

  • We offer a permanent contract based on an onsite 4 days a week/10 hours a day working mode.

About you

  • Associate’s Degree.

  • Three to five years’ prior experience in an Administrative role.

  • SAP experience is preferred.

  • Competencies:

  • Must be Proficient in Google Workspace including Gmail, Hangouts, Calendar, and Google +.

  • Must possess excellent communication skills.

  • Must be able to prioritize all tasks as you will be assisting members of the management team.

About the pay and benefits

  • Attractive and equitable pay for all: compensation is determined within a range to foster your development in the role. While the USA base pay reasonably expected for this role is $51,720/yr- $77,580/yr, your salary may ultimately be higher or lower based on your skills and experience. Additionally, we provide a competitive total rewards package that includes a bonus and/or other incentives.
