Boehringer Ingelheim Global Facilities & Engineering (GFE) Manager in Ho Chi Minh, Vietnam

The Position

Global Facilities & Engineering (GFE) Manager

The GFE Manager is responsible to roll out and implement the key processes within Global Facilities and Engineering (GFE) including and not limited to:

  • Security & Crisis Management, act as Local Security Officer to implement Security System and Program according to BI Security Principles and measures in order to ensure appropriate level of security system to protect and secure BI offices and site in Crisis Management and Site Security

  • Environmental Health & Safety (EHS)

  • Real Estate and Facility Management (RE & FM)

  • GFE Initiatives like Be Green, Be Safe, etc.

  • Permit Management

Tasks & Responsibilities:

1. Security and Crisis Management

  • Security SOP implemented

  • Regular site security assessment base on updated security requirement

  • Participate as Local Security Officer in Security regular meeting

  • Security Incident Reporting well maintained

  • CAPA of security audit/inspection and assessment completed as time line

  • ISOS Travel Tracker Adminstrator responsible for the country

  • Reception process to be aligned within ROPU ASKAN

  • Attend Annual LSO Training

2. Environmental Health & Safety (EHS)

  • EHS program in offices to be implemented

  • Safety Minute to be incorporated

  • Be Safe Programme to be incorporated

  • Office activity according to BI Safety Policy and guideline

  • Monthly KPI Reporting:

  • Manhours

  • Open Reporting of incidents & accidents

  • Attend monthly calls

  • Attend Annual EHS Training by ROPU ASKAN

  • Conduct annual Safety Day promotional activities

  • Execution of risk assessments across EHS processes with active CAPA management

  • On time permit renewal

  • Permit Good Documentation Practice

  • List and renewal calendar of Permit available

3. Field Force Safety

  • KPI of Zero Fatality reporting monthly

  • Annual Driving Safety Training

4. Third Party Warehouse & Contractors Management

  • Coordinate audit of supplier and 3rd-party warehouse in country prior to contract renewal

  • Establish Permit-to-Work system in the office for services and maintenance

5. Infrastructure

  • Recycling programme to be incorporated in facility

  • Maintenance of all life saving equipments

  • Energy saving initiatives to be adopted in facility managemenT

  • Responsible to manage office asset and infrastructure documentation

  • Responsible to ensure office renovation/refurbishment according to BI OCP guideline

  • Real Estate Leases and Fit Out / Sale or Purchase

  • Consulted or be involved in transactions for lease of offices/labs and fit GFE topics

6. EHS & Security Committee

  • Set-up a EHS & Security Committee in the OPU

  • Conduct meeting alternate months between Safety & Security to update and discuss on issues and programs

  • Perform monthly safety inspection programs within the facility/office and provide closure of observations

Requirements:

Minimum Education / Degree Requirements: Degree/Diploma In BA or Engineering or EHS or Security Studies or equivalent or local regulation approved certifications

Required Capabilities (Skills, Experience, Competencies):

Special Skills (with reference to PRIME marketing Competencies Model):

  • EHS, GMP, Food & Drugs, GDP: Local & Global Security Standards, Contracts and Agreements, OSHAS 18001, ISO 14001, FM & NFPA Standards, Best Practices from the industries, TAPA Standards

  • Knowledge of office setup and layout

  • Knowledge of business operations in operating country

  • Basic Safety & Security knowledge in operating country

  • Minimum 5 years of experience in related fields, experience in working with local regulatory authorities in Safety & Security matters

  • Possess a can do attitude and strong passion to work in tasks related to Safety & Security issues

  • Good understanding of best documentation practices and safe work practices

  • Knowledge of principles and processes for providing customer and personal services. This includes good understanding of customer needs, meeting quality standards for services, and evaluation of customer satisfaction

  • Good understanding of business processes of sales and marketing, finance, HR

  • activities

  • Team player and ability to coordinate and work with different areas / functions

  • Social perceptiveness

  • Good listening and communication skills, oral expression and speech clarity in English.
