DESCRIPTION OF DUTIES / ESSENTIAL FUNCTIONS

Performs a variety of entry-level professional accounting duties, such as gathering financial information, preparing reconciliation statements and entering financial (Accounts Payable) transactions to assist in maintaining sound records for the department in the processing of citywide Accounts Payable.

  • Maintains accurate accounting records by preparing, entering or verifying simple accounts payable transactions.

  • Prepares payment vouchers and processes day-to-day accounts payable transactions

  • Answers customer inquiries

  • Processing of citywide Accounts Payable transactions

  • Monitors assigned accounting controls in the maintenance of cost accounting and/or finding systems

  • May contact other departments and/or outside agencies to resolve routine problems

Respond to vendor issues or inquiries. Assist in maintaining policies and procedures. Ability to apply specific guidelines, internal controls and methodologies. Ability to analyze and/or maintain large quantities of Accounts Payable data. Ability to work independently under strict time deadlines. Ability to organize heavy workloads and prioritize multiple responsibilities.

Researches and responds to internal and external customer inquiries regarding the payment of invoices, payment of employee reimbursements or status of vendor setup requests. Ensures all documentation and authorization is received according to guidelines. Discusses questionable information with user departments or team leads and ensures corrections are processed.

WORKING CONDITIONS

This position is physically comfortable; the individual has discretion about walking, standing, etc. There are no major sources of discomfort in a normal office environment.

MINIMUM REQUIREMENTS

EDUCATION:

Requires a Bachelor's degree in Accounting, Business Administration or a closely related field such as Finance.

EXPERIENCE REQUIREMENTS

No experience is required

Four years of pertinent professional or para-professional experience may substitute for the education requirement. An Associate's degree in Accounting, Business Administration or a closely related field and two years of pertinent professional or para-professional experience may substitute for the education requirement.

PREFERENCES

Preference will be given to individual who is a critical thinker, strong in analytical work, strong in excel skills, highly adaptable, calm under pressure, cooperative, team-player and possesses the initiative and independence to identify solutions. The ability to work fast, with minimal supervision, and produce required results timely is essential.

Preference shall be given to eligible veteran applicants provided such persons possess the qualifications necessary for competent discharge of the duties involved in the position applied for, such persons are among the most qualified candidates for the position, and all other factors in accordance with Executive Order 1-6.
