Job Summary
The Receptionist will greet, assist, and provide direction and information to all in person visitors of the organization. This position will answer all incoming phone calls and direct the calls to the correct person or department.
This will be a temporary position that will be converted to full-time position within 1-3 months of employment.
Job Duties and Responsibilities
Greets clients, visitors, and external vendors; determines the purpose of each person’s visit and communicates their arrival to the appropriate personnel.
Answers, screens, and directs phone calls to staff.
Takes detailed messages and schedules appointments.
Receives mail, documents, packages, and courier deliveries and distributes all incoming mail to the appropriate personnel.
Provides administrative and clerical support to the executive and leadership team.
Completes are required filling and recordkeeping.
Cross trains with Document Imaging Specialist.
Performs other duties as assigned.
Knowledge Base
The Receptionist must know how to operate the phone lines to be able to answer and transfer all incoming calls.
The Receptionist must know how to operate Microsoft Office Suite to be able to coordinate incoming calls and schedule meetings.

Skills
Excellent verbal communication skills.
Excellent interpersonal and customer service skills.
Understanding of administrative and clerical procedures and systems.
Proficient with Microsoft Office Suite or related software.
Ability to maintain a pleasant composure when communicating with all in person personnel.
Bilingual in Spanish a plus.
Education
Required: High school diploma, GED or equivalent.
Work Experience
Required: 1 year of previous experience in a receptionist role with high volume of calls and the ability to distribute calls in a timely manner.
Physical Requirements
Prolonged periods of sitting at a desk.
Must be able to lift up to 25 pounds at times.
Strong ability to listen and annotate information.
