 I. DEPUTY PROTHONOTARY/CLERK OF COURTS Department -- Prothonotary and Clerk of Court Supervisor -- Prothonotary/Clerk Date Revised -- February 2014 II. Job Statement This position exists to keep and maintain records and files for Prothonotary/Clerk of Courts and to perform other related departmental duties. III. Job Duties/Responsibilities 1. File, number, enter, and distribute all docketing and filing. 2. Record documents and file the appropriate papers. 3. Assist customers at the counter and respond to telephone inquiries. 4. Issue receipts for money received. 5. Prepare bills, bank deposits, and daily activity sheet for money receipts and balance cash drawer and the account ledger. 6. Execute passport applications. 7. Issue subpoenas for court cases and certify orders for various entities. 8. Attend court hearings and trials in the Prothonotary's absence. 9. Administer oaths. 10. Perform departmental clerical duties including typing, filing, and data entry. 11. Ability to react productively to change and handle other essential duties as assigned. 12. Satisfy all judgements and enter all financing statement terminations. 13. Other duties as assigned IV. Job specifications A. Education - High school diploma or equivalent required. B. Experience -- None C. General Requirements Deputy Prothonotary - 2 Good working knowledge of office terminology, procedures and equipment, including a computer and telephone. Good knowledge of business arithmetic and English grammar. Ability to speak and write English effectively. Ability to communicate in an appropriate manner and get along well with others. Ability to make minor decisions using good judgment and acting in accordance with established policies or regulations. D. Specific Requirements Ability to perform basic bookkeeping duties. Thorough knowledge of the principles, methods, and practices of accounting. Ability to operate a computer. Ability to understand and follow complex oral and written instructions. Some knowledge of rules and regulations pertaining to Civil Court Procedure. Ability to supervise other employees on occasion. Some knowledge of basic Court Procedures. Ability to make mathematical computations. Ability to work effectively with the general public.
