Make a Difference

Under the direction of the Account Management Team, supervises the performance of all front office and billing office duties including answering the telephone, scheduling patient appointments, performing check-in and check-out functions, filing claims, printing statements and maintaining patient medical records. Also performs all front office and billing office duties as described above. Supervises the performance of all back office duties including patient triaging, laboratory testing, medical assisting, regulatory compliance, and diagnostic procedures. Also, may perform all back office duties as described above. Performs all administrative functions including month end reporting, financial reconciliation, payroll authorization, accounts payable authorization/processing, policy interpretation and compliance, and all other administrative duties as needed.

• High School Diploma or GED : Graduation from High School or GED equivalent and/or Graduation from accredited Nursing Program and valid Indiana licensure. (Required)

• 0+ years: Six months previous clerical experience preferred. Previous supervisory experience in a physician office or medical related position, knowledge of medical terminology and experience filing insurance claims preferred. (Required)

• Direct daily work activities to assure appropriate office coverage to include coordination of staff schedules, scheduling of PTO, training and development of front office and billing office staff and tracking of staff attendance records. Authorize and process quarterly attendance bonuses. Facilitate employee Performance Appraisal process, necessary counseling/coaching sessions, process payroll and A/P information to IMM and participate in recruitment process.

• Participate/facilitate staff meetings, physician meetings.

• Oversee and facilitate patient flow.

• Act as liaison to vendors and other external customers.

• Coordinate equipment maintenance for office equipment (i.e. copier, postage meter/scale, centrifuge). Oversee compliance with all maintenance contracts/guidelines.

• Coordinate the personal schedule and office schedule

• Answer and triage incoming telephone calls. Responds to questions, takes appropriate messages, schedules patient appointments or transfers caller as necessary.

• Maintains appointment schedule by scheduling patient based on urgency, length of exam time required, convenience of patient. Confirms next-day patient appointments by contacting patient, reminding of appointment time. Maintains correct availability of days and rescheduling as soon as possible.

• Greets patients as they enter by asking them to sign-in, verifying patient and insurance information. Updates chart with copies of current insurance card and patient registration forms. Prepares new patient charts as necessary. Pulls chart, attaches patient superbill, and notifies clinical assistant that patient has arrived.

• Verifies insurance coverage, plan benefits coverage, signed insurance assignments, release of information signature, precertification information.

• Check out patient and collect payment for services rendered, enter CPT and ICD-9 codes, record and post charges and payments daily, balance cash drawer, prepare deposit to take to bank. Reschedule patient for next appointment if necessary.

• Prepare claim to be submitted electronically. Identify services to be filed. Prints HCFA 1500s. Submit all claims (electronic and paper), verify printed claims for accuracy and completeness. Review electronic claims reports.

• Prepare patient statements to be reviewed, then prepare them for mailing.

• Assist patient with complex billing questions referred to them by staff.

• Follows up on rejected claims by determining problems and contacting appropriate party.

• Facilitates collection process including letters, telephone calls, payment plans and coordination with outside agencies.

• Inventories and restocks office supplies.
