Responsibilities

Provide administrative support for executives.

Responsibilities:

  • Prepare or coordinate the preparation of correspondence, forms, reports, presentation materials and other written communications as required.

  • Schedule and coordinate meetings, conferences, special events, appointments and travel arrangements.

  • Prepare, process and edit financial or operational information, data and documents, including materials necessary for meetings, special projects and reports.

  • Attend meetings, keep records of all proceedings and act as custodian for all related documentation.

  • Prepare and distribute subsequent correspondence as needed, and follow up on action items to ensure completion.

  • Prioritize, receive, and screen visitors and telephone calls. Maintain assigned calendar(s).

Requirements

Education:

  • High School diploma equivalency OR 1 year of applicable cumulative job specific experience required.

  • Note: Required professional licensure/certification can be used in lieu of education or experience, if applicable.

Executive Assistant - Operations Administration – Full-Time, Day Shift

Role of the Executive Assistant:

This role will be assisting the Chief Operating Officer (primarily) and Chief Nursing Officer (occasionally) in daily operations.

• Minimum of 2 – 5 years of Executive Assistant experience is preferred.

• Healthcare background experience is preferred.

• Bachelor’s degree is preferred.

• Project management experience preferred.

• Schedules/coordinates meetings.

• Establishes and maintains filing systems.

• Attend meetings to record minutes.

• Ability to manage and understand multiple electronic platforms to assist leadership with reports related to compliance.

• Efficient with Google platform - Google Sheets, Google Docs, Google Slides, Google Email

• Composes, types, and transcribes correspondence, forms, reports, presentation materials, and other written communications as required.

• Experience working in a healthcare environment is preferred.

• Highly skilled phone etiquette, communication verbally, and written skills.

• Interpersonal skills, professionalism, and desire to learn.
