Robert Half Administrative Assistant in Irvine, California

Description We are offering a contract to hire employment opportunity for an Administrative Assistant in Irvine, California. This role operates within the telecom provider industry and involves a variety of administrative duties to ensure the smooth operation of our office.

Responsibilities:

• Oversee the management of phone calls, emails, and mail, including the dispatch and receipt of packages

• Organize and schedule appointments, meetings, and travel arrangements for supervisors or management

• Create and maintain both computer-based and paper-based filing and organization systems for records, reports, and documents

• Draft memos, letters, and forms, prepare reports and financial data, and maintain appropriate filing systems

• Purchase and manage office supplies and equipment, ensuring proper stock levels are maintained

• Provide support for staff in assigned project-based work and other required tasks

• Assist in the preparation of regularly scheduled reports and presentations

• Deliver excellent customer service to the company’s clients

• Liaise with executive and senior administrative assistants to handle requests and queries from senior management

• Ensure the efficient and smooth day-to-day operation of the office.

Skills:

• Proficiency in Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word

• Experience with Data Entry and Email Correspondence

• Ability to handle both Inbound and Outbound Calls

• Experience in Answering Inbound Calls and providing Customer Service

• Familiarity with scheduling appointments and performing receptionist duties

• Background in Administrative Office tasks. Requirements • Proven experience as an Administrative Assistant or similar role with at least 2 years of professional experience

• Proficiency in Microsoft Office Suite (Microsoft Excel, Outlook, PowerPoint, and Word)

• Experience in handling both inbound and outbound calls

• Strong communication skills, both written and verbal, for answering inbound calls and email correspondence

• Excellent customer service skills

• Ability to perform data entry tasks with attention to detail

• Capable of scheduling and managing appointments efficiently

• Experience in performing receptionist duties

• Familiarity with administrative and office procedures

• Ability to multitask, prioritize, and manage time effectively

• High school diploma or equivalent; additional qualifications as an Administrative assistant or Secretary will be a plus
